Your Job:

 

The HQ Facilities Coordinator reports to the Senior Manager, HQ Facilities and serves as the first point of contact for all employee facilities requests across the Brooks HQ portfolio. With a priority focus on customer service, you ensure facilities requests are addressed in a thorough, timely manner. The Facilities Coordinator works closely with HQ Facilities Manager, Health and Safety Program Manager, Front Desk and various vendors to create and maintain a safe and functional headquarters environment.

Responsibilities:

  • Coordinate, track, and ensure the appropriate execution of headquarters facilities requests across multiple sites.
  • Perform proactive inspections of property through building rounding and documentation to identify and correct issues.
  • Perform preventative scheduled maintenance on assets including refrigerators, drains, water and HVAC filters; coordinate with vendors on routine maintenance as appropriate, perform minor maintenance when necessary.
  • As directed by the Senior Manager, HQ Facilities, partner with functional teams for desk moves, reallocation of shared space and special projects.
  • Partner with Senior Manager, HQ Facilities to process bills in a timely manner; track expenses and ensure Facilities are operating within budget.
  • Work with building management and Front Desk to issue building access cards according to established procedures and maintain log of cards and access across multiple sites. As directed by Senior Manager, HQ Facilities, liaison with building management, engineer and cleaning vendors. Submit service tickets with building management as needed. Monitor performance and track employee feedback on cleaning services and communicate with cleaning vendor on cleaning service expectations and deficiencies.
  • Regularly check and promptly reply to work order or project requests submitted through the work order system and Facilities inbox.
  • Coordinate activities related to outside vendors for maintenance, mail and food services. Perform vendor pricing research when needed. Partner with onsite cafeteria services for maintenance and repairs.
  • Conduct regular check-ins with the Senior Manager, HQ Facilities, Environmental Health and Safety Program Manager and Front Desk Lead following-up with all assigned items and ensuring tasks and projects are tracked in the work order system.
  • Present efficiency improvement ideas.
  • Consistently convey a positive attitude and customer service focus.
  • Demonstrate professionalism and maintain confidentiality and discretion when dealing with sensitive issues.
  • Reach out to appropriate department contacts if issues arise to ensure repairs are completed in a timely manner.
  • Other duties as assigned.

Qualifications:

  • 3+ years of experience in general building maintenance and repair or equivalent education and experience.
  • Experience working with outside vendors and managing work to ensure best result.
  • Computer proficiency: MS Office Suite and internet, required.
  • Strong interpersonal skills and the ability to deal with adverse situations positively.
  • Ability to interact and communicate effectively and professionally with all levels of the organization. Exceptional customer-service.
  • Strong problem solving and troubleshooting skills.
  • Ability to manage multiple projects at a time.
  • Ability to work flexible hours as needed for building repairs or maintenance.
  • Ability to travel between locations, as necessary.
  • Passion for the running enthusiast and active lifestyle.
  • Ability to lift up to 50 pounds.

Compensation:

The pay range for this position, based out of the Brooks Seattle HQ, is $24.46 - $34.25 per hour. Base pay offered will vary depending on job-related knowledge, skills, and experience.
