HR Administrator/Coordinator (DOT)

Changeis, Inc. is an award-winning 8(a) certified, woman-owned small business that provides management consulting services to the public sector. Join a dynamic Program Management Office (PMO) Team supporting the US DOT Volpe Center with Department of Transportation, Cambridge, MA. For more than 50 years, the U.S. DOT Volpe Center has been advancing transportation innovation for the public good, with a mission is to help the transportation community navigate its most challenging problems.

The HR administrator’s primary goal is to manage internal administrative functions on behalf of the program, including acting as a Human Resources liaison.  Daily responsibilities include interfacing between corporate, client and on-site staff, including new hires.  This role requires strong administrative and analytical skill sets.  A highly visible position, this opportunity also has potential to evolve into a Human Resources Business Partner career-track, long-term, if the chosen candidate desires.  Please note this is a hybrid role with 2-3 days of in-office/work from home.

Specific Responsibilities:

  • Manage administrative tasks including scheduling all team meetings and delivering on complex administrative support projects connected with our program (Volpe/DOT) by developing and completing various reporting documents
  • Schedule candidate interviews and track candidate resumes
  • Coordinate full life-cycle management of US security clearance processes for new hires inclusive of working directly with DOT and Corporate
  • Track and train employees on time sheet accuracy
  • Management of office supplies and equipment, including distribution and collection for new/exiting employees
  • Managing office communication with and between client/corporate/in-office personnel as the designated “people liaison” to introduce and maintain relationships with new hires
  • Miscellaneous administrative and analytical tasks as required, in the context of a HR Administrator

Qualifications:

  • US Work Authorization
  • 2-5 years of experience in an executive administrative role and/or as a HR Coordinator/Administrator or as a Junior Analyst (relevant in the context of the job description position)
  • Demonstrated strong written and verbal communications
  • Demonstrated professional abilities including: multi-tasking, organizing, collaborating, detail-oriented and interpersonal skills
  • Knowledge of MS Office Suite including Excel, Word and PowerPoint
