Job Description

MEMIC is seeking a candidate who is preferably located in Maine and can report to our Portland office on a hybrid schedule. We are also open to candidates in the New England area who are willing to travel to the Portland office on a semi-regular basis.

The HR Compliance Specialist is responsible for ensuring MEMIC is compliant with relevant employment-related legislation, company policies, procedures, best practices, benefits, payroll, and taxes as well as internal and external audits. This role encompasses a wide range of tasks, including ensuring compliance with industry-specific regulations, health and safety legislation, and employment practices. The incumbent will partner with training, human resources, risk management, payroll, and benefits by sharing information, analyzing, and developing action plans.

  • Develop, implement, and maintain HR compliance tracking processes and audits for all programs to ensure adherence to all relevant regulations in a timely and accurate manner.
  • Coordinate and spearhead all internal and external audits related to employment compliance.
  • Execute required HR compliance report filings such as EEO-1, OSHA, etc. 
  • Conduct and maintain Annual Compliance Training as well as monitor specific changes in Federal, State, and Local employment laws that impact our multi-state jurisdictions.
  • Identify and investigate compliance issues and risks and suggest ways to prevent or resolve them.  
  • Evaluate existing organizational procedures to ensure compliance with internal organizational policies and the requirements of regulatory agencies.
  • Cultivate and foster a culture of risk management, engaging with business partners throughout the organization to ensure compliance. 
  • Manage the day-to-day responsibilities supporting HR compliance initiatives. 
  • Implement new compliance requirements and update existing programs, policies, procedures including employee handbook and job descriptions. 
  • Audit policies and procedures to ensure compliance with federal, state, or local regulations and applicable employment, benefits, and payroll and tax laws. 
  • Partner with HR, Payroll, Benefits, and Training to develop communications and training materials for the organization. 
  • Perform research and recommended guidance on complex scenarios relating to HR, payroll, tax, and benefit compliance. 
  • Offer compliance training and formal periodic updates to HR, Benefit and Payroll team. 
  • Assist with future enhancements to Core HR system modules and make recommendations for compliance related changes. 
  • Recommend best practices regarding internal procedure to drive greater compliance. 
  • Serve as a key member on the Enterprise Risk Management Committee. 

Requirements: 

  • A minimum of three years of relevant human resources experience is required, preferably in compliance or employment law.
  • Multi-state compliance experience preferred. 
  • Ability to make independent decisions, resolve issues, and ability to handle sensitive and confidential information. 
  • Strong analytical and critical thinking skills. 
  • Excellent verbal and written communication skills. 
  • Excellent documentation, reporting, and presentation skills necessary.
  • Proven ability to communicate effectively across all levels of the organization.
