Job Summary/Responsibilities:

The HR Coordinator will be responsible for providing administrative support to the HR department and assisting with various HR functions. This role is crucial in ensuring the smooth and efficient operation of HR processes while maintaining a high level of confidentiality and professionalism.

Recruitment & Onboarding

1. Assist in posting job vacancies on job boards and company websites.

2. Coordinate and communicate with candidates to schedule interviews on an as needed basis.

3. Assist with the onboarding process for new hires, including paperwork completion and orientation.

4. Complete reference checks

5. Maintain new hire files, new hire reports and complete set up in HRIS system.

6. Create and send out new hire documents for signature and ensuring completion.

7. Schedule pre-employment testing via our third-party vendor.

8. Assist in coordination of Form I-9 documentation review.

9. Ensure new hire documents are filed promptly in UKG Document Manager

Records Management

1. Maintain accurate and up-to-date employee records in employee filing system.

2. Assist in the preparation and processing of payroll status change forms as required.

3. Complete necessary organizational, salary, and job title changes in the HRIS system.

4. Complete Verification of Employment (VOE) requests in a timely and accurate manner.

HR Reporting

1. Create and maintain organizational charts, ensuring they are current and accurate.

2. Compile and prepare month-end HR reports for review and analysis.

3. Generate and distribute weekly employee headcount reports to HR and management.

4. Prepare and update HR reports and spreadsheets required.

Separation Process Support

1. Assist in employee separation process as required.

2. Update employee status and information in internal systems.

3. Provide documentation as needed to separated employees.

Employee Awards

1. Administer and manage employee recognition programs and initiatives.

2. Coordinate award distribution and employee recognition events.

HR Policy and Compliance

1. Assist in the development and implementation of HR policies and procedures.

2. Assist in ensuring compliance with labor laws and regulations.

3. Maintain knowledge of industry trends and best practices in HR.

4. Ensure compliance with data privacy regulations and maintain confidentiality of sensitive information.

General HR Support

1. Assist in organizing HR events and initiatives.

2. Handle general HR inquiries and direct employees to appropriate resources.

3. Order and maintain general office supplies for HR Department.

4. Help maintain a positive and inclusive work environment.

5. Complete various HR administrative tasks as required.

6. Participate in HR projects as assigned by the HR Manager.

Additional Functions, Duties & Accountabilities:

  • Serve as a member of the Human Resource Team and support others as necessary.
  • Maintain flexibility in work schedule to meet business needs.
  • Actively and positively contribute to the overall success of the company through regular contributions to the general management of the company.
  • Participate and provide assistance in inter-departmental meetings, projects and informal activities.
  • Support the company and other departments wherever and whenever your skills and experience would be beneficial.

Required Experience & Qualifications:

Educational Requirements

1. Bachelor's degree in Human Resources, Business Administration, or a related field preferred.

Experience and Skills

1. 1-3 years of HR or administrative experience.

2. Strong interpersonal and communication skills.

3. Excellent organizational and multitasking abilities.

4. Exceptional attention to detail and accuracy in all tasks

5. Proficiency in Microsoft Office Suite and HRIS software.

6. Knowledge of HR laws and regulations is a plus.

7. Discretion and the ability to maintain confidentiality.
