As we continue to grow, we're seeking a versatile General Administrator with a focus on supporting international functions, including Facilities, HR, Sales, Finance, and Executive Administration . This pivotal role will be based in and around the Maidenhead area and will serve as the linchpin for coordinating seamless operations across these diverse areas.
Reporting directly to the HR Director, the General Administrator will play a crucial role in ensuring efficient and effective operations across multiple functions within our international offices. This role requires a proactive individual with exceptional organizational skills and the ability to thrive in a fast-paced environment.
Responsibilities:
Facilities Administration (Maidenhead Office):
- Oversee the daily facilities operations for our Maidenhead office, ensuring the office environment is conducive to productivity and reflects the company culture.
- Manage maintenance requests, vendor relationships, and general upkeep of the office.
- Ensure that office supplies are adequately stocked and that all facilities are well-maintained and fit for use by employees.
- Coordinate logistics, including managing shipments and deliveries, and handle employee inquiries related to shipping and logistics.
- Oversee health and safety compliance within the Maidenhead office, ensuring a safe working environment for all staff.
HR Support:
- Provide administrative support to the HR department for our international teams, including managing documentation, scheduling interviews, and maintaining HR records across multiple regions.
- Assist with onboarding activities for new hires globally, including coordinating visa requirements, right to work checks, organizing equipment with IT departments, and ensuring a smooth day-one experience regardless of location.
- Assist in the administration of employee benefits programs for international staff, including health insurance, pensions, and other perks tailored to different regions.
- Act as a point of contact for international employee benefits inquiries, providing information and support as needed.
- Ensure compliance with local benefits regulations in various countries and liaise with benefits providers to manage enrolments, changes, and terminations.
- Support the HR team in communicating benefits updates and conducting benefits-related initiatives globally.
- Coordinate offboarding procedures, including conducting exit interviews, processing paperwork, and managing the return of equipment.
Cross-Functional Coordination:
- Serve as the central point of contact for coordinating activities and communications across different functions within the international context.
- Collaborate with team members across departments and regions to streamline processes and improve operational efficiency.
Requirements:
- Previous experience in a similar administrative role, preferably within an international context and supporting multiple functions.
- Strong organizational skills with the ability to prioritize tasks and manage deadlines effectively.
- Excellent communication and interpersonal skills, with the ability to interact with individuals at all levels of the organization.
- Proficiency in Microsoft Office suite and other relevant software applications.
- Proactive attitude with a willingness to take initiative and adapt to changing priorities.
- High level of discretion and confidentiality when handling sensitive information.
- Familiarity with UK and European labor laws and facilities management best practices is a plus.
Exabeam Working Conditions:
- Full-time hybrid position based in Maidenhead, UK, with potential remote work flexibility.
- Occasional travel may be required to support international operations.
- Ability to work across different time zones to accommodate international payroll and HR needs.
