HR Finance & Administrations Manager
Job Description
Reporting to the Senior Manager, HR Finance and Administration the position will be responsible for the day-to-day financial and administration management of the People Team, including budgeting, financial operations and vendor management. The Manager, HR Finance & Administration assumes responsible for the development, entry and supervision of each HR depts. budget with HR finance partners. This position is a hands-on finance and operations management position that plays a substantial role in partnering with the stockholder/project managers while simultaneously requiring attention to day-to-day transactions and regularly performed analyses.
Role and Responsibilities
- Manage the preparation and review of people team budgets, contracts, financial analysis, variance reports, and ad hoc reports
- The ability to communicate effectively with stockholders and COE in order to understand requirements, expectations, and collaboration in order to build a framework for strategic relationships with vendors
- Raise the service quality by analyzing and understanding the business environment which includes developing of dashboards of each people team departments, implement and innovate new processes, procedures to scale expense management and fiscal discipline within the People team organization.
- Act as the subject matter expert for all people team departments finance/accounting requirements and provide training to HR Finance Partner. Examples include: financial data, accounting protocols and systems, variance analysis, forecasting, budgeting, cost reductions, cost benefit analysis.
- Prepare and communicate various weekly, monthly, and quarterly reports to management with HR Finance Partner. Partner with Finance leaders to Solicit feedback to develop and implement step level improvements in reporting and continuously make process and system upgrades to enhance efficiency and productivity.
- Oversee the HR Finance and Admin team work closely with AP and VERS leads and points of contact to define, standardize implement, and monitor AP and vendor onboarding processes and procedures that drive efficiencies, ease of use, with end-to-end transparency, and an excellent user experience.
- Manage and work with HR Finance Partner to investigate, review, and validate discrepancies on invoices versus contracts/pre-approvals. Resolve aging invoices by communicating with AP, Finance and Vendor.
- Oversee intercompany transactions: sub-lease calculation, sub-lease agreement, and chargeback by headcount
- Responsible for HR stakeholders, Finance, AP, Procurement, Legal, etc. to ensure vendor compliance is aligned with SEA policy and Mitigate risks/issues raised by COE through effective vendor management practices
- Work with HR Finance Partner to manage vendors by providing line of sight to risks, issues, track key deliverables metrics, contractual obligations and other action items
- Manage and ensure all HR capital projects are processed under WBS code budget and recorded with the fixed assets & assigned assets owner.
- Manage the administrative processes, such as contracts and document management for all COEs within the People Team
Skills and Qualifications
- 6 to 8+ years of experience in vendor management, strategic partnership, financial planning & analysis, accounting, and/or corporate finance and Experience in working in an enterprise HR environment
- Bachelor's or higher degree in Finance, Accounting or Business Management required
- Excellent stakeholder management, meeting facilitation internal and external customer services and presentation skills
- Prior supervisory preferred
- Proven ability to partner with management to resolve conflicts & deliver management solutions
- Build dashboards in tableau for each HR teams, excel and power point mastery and proven experience in building strong financial models, innovate new processes, templates and procedures required
- Exceptional attention to detail and accuracy and communication skills with emphasis in high-quality documentation and presentation
- Extremely strong analytical, problem-solving skills, business acumen, project and time management skills
- Proactive, self-sufficient, roll up one's sleeves mentality
- Ability to work under pressure and within short time constraints in a complex system and business environment
