Job Profile Summary

The HR Operations Specialist provides centralized human resource services support spanning payroll, benefits and other HR areas. They support the efficiency of operational work, technology and transaction processes. This role follows standards and procedures for handling associate and manager questions, transactions and administration of human resource programs. They coordinates issue resolution with other HR areas as necessary. The specialist contributes to an overall great associate experience.

Essential Functions/Responsibilities

  • Associate/Manager Support
    • Provides excellent customer service to employees reaching out for HR assistance.
    • Seeks to resolve each request during first interaction, but escalates to the appropriate HR department if/when needed.
    • Understands and works diligently to meet HR support service level agreement guidelines.
  • Human Resources Process Support
    • Facilitates the pre-employment process
    • Assists with administration of the onboarding experience for new employees.
    • Supports process for incentive compensation submission
    • Responds to unemployment claims and employment verification requests.
    • Assists HR in carrying out programs and projects (I.E. open enrollment, performance management, etc)
    • Follows HR Services team process documents
    • Provides administrative support for HR as needed.
  • Data Integrity/Records Management
    • Manages associate personnel records on the shared drive, Workday and file room
    • Responds to subpoenas and other court documents
    • Assists with distribution of employee communications
    • Run reports and assist with audit of data in support of all areas of Human Resources
  • Compliance
    • Ensures compliance as it relates to required personnel documentation (ex: I-9s, EEOC, NMLS etc)
    • Creates and compiles reports and procedures for monitoring compliance
  • Other duties as assigned

Minimum Knowledge, Skills, and Abilities Needed to Perform Essential Functions of the Job

  • Must have client focus skills and be able to interact with employees at all levels, as well as vendors in a professional and straightforward manner.
  • Must be detail and process oriented
  • Must have good verbal and written communications skills and be able to communicate effectively
  • Must be an effective listener and able to maintain focus
  • Strong computer skills, proficient with word processing, spreadsheet and presentation software, e-mail, HRIS and related HR programs and meeting management software.
  • Ability to use internet and web-based resources efficiently and effectively.
  • Basic knowledge of and/or willing to learn more on the commonly-used concepts, practices, and procedures within the HR field.
  • Attention to detail and organizational skills.
  • Ability to handle time constraints and deadlines; function well under pressure.
  • Collaboration, adaptability and flexibility to work in a fast-paced environment.
  • Available to work at different locations if needed

Preferred Knowledge and Skills

  • Experience with HRIS systems (i.e. Workday, ADP, etc.)
  • Experience with support ticketing systems (i.e. ServiceNow, Salesforce, etc.)

  • Limited most work is based on process compliance with ability to escalate or ask questions of supervisor when needed.

Physical Requirements

  • Remains stationary (sits or stands) for majority of the day
  • Operates a computer and phone for majority of the day
  • Move and lift to set up for meetings, as needed
  • Travel between business locations, as needed
