Role:    HR Specialist    

Department: Human Resources

Location: Bangalore

Position Overview:

The HR Specialist will be based in our Bangalore office and report to the HR Manager. The HR Specialist will provide support to our APAC offices (Bangalore and Dubai), about 160 employees, and be part of a global HR team.

On-Boarding: Partner with the internal recruiting team to ensure that onboarding experience is good and that there is a thorough and consistent process.

  • Stay in touch with new joiners (candidates).
    • Explain Compensation and Benefits
    • CTC structure
    • Initiate BGV process
    • any other queries of Candidates.
  • Assist candidates in completing pre-boarding tasks on Workday.
  • Verify the pre-hire tasks and Documents submitted by the candidates.
  • Co-ordinate and facilitate new joiners on their first day at office.
  • Assist HR Manager on the day of induction and to complete formalities.

Employee Life Cycle:

  • Maintain accurate employee data in Workday (HRIS Tool).
  • Manage all HR tasks for offices in Workday.
  • Create and Maintain employee personal file in the shared drive.
  • Share new joiners’ information with benefits partner, facilitate enrolment of dependents.
  • Administer employee surveys (Onboarding, DQA, Exit Etc.) to ensure completion.
  • Address employees’ queries and requests in a timely manner.
  • Manage the HR APAC generic email inbox, working with the HR Specialist in Singapore office to ensure timely response to all inquiries.
  • Manage the employee probation process, track, and work with managers on necessary actions.
  • Monitor and support employee movements within the group.
  • Support immigration process: working with our third-party immigration law firm to coordinate visa applications (employment visa and travel visa), issue Company letters, and track progress.
  • Support offboarding process from resignation to final day; resignation acknowledgement emails, arrange account suspension/deletion, maintain employee files.
  • Prepare Employment Certificate, Relieving Letter Etc.
  • Responsible for all BGV checks for Ex-employees.

Payroll:

  • Prepare Payroll spreadsheet and work with global payroll team to ensure employees are paid timely and accurately.
  • Conduct random audits of payroll and notify global payroll team if anything is discovered.
  • Share NPS data with NPS provider.
  • Work with global payroll team to ensure all employees with Tax and Payroll related queries are taken care of.

Labor Law compliance:

  • Conduct checks and ensure all labor law licenses and certificates are valid at all the time.
  • Ensure the registers are maintained and recorded by the service provider.
  • Ensure periodical (Monthly, Half Yearly, Annual) returns are submitted to competitive authorities within the due dates.
  • Maintain the records at service provider’s tool.
  • Ensure the payroll provider makes ESI, PF, PT and LWF payments within due dates.
  • Keep an eye on ongoing labor regulation development and keep the organization informed on the updates.
  • Support during Inspection of labor authorities.

Projects and Special tasks:

  • Support in Statutory and internal audits.
  • Support during inspection of labor authorities.
  • Support HR Manager in preparing HR dashboards and reports.
  • Prepare and control the process notes, Procedure Documents, Policies, etc.
  • Collaborate with global HR team members across regions, Office Management team, Finance and Compliance Teams for HR matters.
  • Participate in global projects where needed.
  • Travel as and when required to other Squarepoint offices across globe.
  • Any other tasks assigned by the HR manager time to time.


Required Qualifications:

  • Bachelor’s degree or equivalent with a minimum of 2 years’ generalist experience required.
  • Exposure and support of immigration process and Labor Law compliance is preferred.
  • Solution-focused problem solver with the ability to think critically and independently.
  • Strong prioritization and time management skills.
  • Self-motivated and disciplined individual with analytical skills.
  • Strong interpersonal skills with ability to effectively interact with all levels within the organization.
  • Strong collaboration skills.
  • Excellent written and verbal skills.
  • Proficiency with Microsoft Excel, Word, Access, and PowerPoint.
  • Experience with Workday (ideal but not required).
