Job Summary

The Human Resources (HR) Senior Specialist plays a key role in enabling the HR Senior team (i.e., those who report to the CHRO) to deliver on its promises by being a trusted and accountable collaborator and by ensuring that the day-to-day operations of the department run effectively and efficiently.

In this fast-paced role, you will:

  • Develop, implement, and oversee procedures designed to streamline operations, eliminate duplication, and improve efficiency throughout the department
  • Monitor deadlines, prioritize tasks, and maintain ongoing communication with the Senior HR team regarding status and approvals
  • Review, prioritize, and determine actions for incoming correspondence from internal and external stakeholders, escalating issues as appropriate
  • Collect and organize relevant data in advance of departmental meetings and ensures that follow-up communications are cascaded accordingly
  • Oversee the management and upkeep of departmental resources and tools such as SharePoint, org charts, shared drives and HR forms
  • Manage required federal and state postings for each OneAmerica office location
  • Ensure physical set-up is complete for all new HR associates including workspaces and computers
  • Prepare reports, documents and presentations of a highly confidential nature
  • Manage the calendars of HR Senior team and anticipates and manages potential conflicts
  • Plan logistics and set-up for HR all associate meetings
  • Reconcile invoices and statements
  • Assist HR vice presidents with administrative tasks, including managing calendar, scheduling meetings and expense reports
  • Participate in special projects
  • Other duties as assigned

We are seeking:

  • High school diploma required
  • At least 5 years of administrative experience, preferably in HR
  • Exceptional communication skills, both verbal and written
  • Strong organization and multi-tasking skills
  • Positive team player who can also work independently when needed
  • Outstanding attention to detail
  • Or any combination of education and experience which would provide an equivalent background

Salary Band: 03B

This selected candidate will be expected to work hybrid in Indianapolis, IN. The candidate will also be expected to physically return to the office in CA, WI, IN or ME as business needs dictate or for team-building and collaboration.
