The Opportunity

The Human Resources Coordinator provides operational support throughout all facets of the employee lifecycle. The coordinator manages high volume of employee communication and transactions, ensuring processes are thoroughly followed to ensure data integrity and an excellent employee experience. The coordinator will regularly partner with the HR Business Partner and Talent Acquisition Partners, collectively delivering exceptional service to the business.

  • Bachelor's Degree or Equivalent
  • One to three years experience in a similar position. 
  • Superior communication and interpersonal skills to interface across all levels of the company and with incoming employees or candidates.
  • Ability to manage high volume of transactions with accuracy.
  • Self-starter and problem-solver.
  • Eagerness to learn.

Duties and Responsibilities

New Hire Support

  • Communicates with new hires around expectations for on-boarding, building rapport with the individual to ensure an exceptional and comfortable process.
  • Process background check orders through a third-party vendor, monitoring for completion. Escalates any findings to the HR Business Partner for adjudication.
  • Complete or coordinate the completion of the new hire’s Form I-9, maintaining federal compliance.
  • Enters new hire data into HRIS, thoroughly following documented SOP.
  • Ensures accuracy and thoroughness of personnel files.
  • Completes onboarding process including
    • Confirming first day details with new hire
    • Communication with facilities for building/badge access and desk assignment
    • Communication with IT for equipment set up and shipping
    • Scheduling new hire to attend orientation sessions
  • Ensuring alignment with Talent Acquisition Partner, HR Business Partner and Hiring Manager of any delays or changes
  • Other duties as assigned.

Employee Changes

  • Hold primary responsibility for processing all employee changes within the HRIS including changes to employment data (title, salary, cost center, etc.) thoroughly following the documented SOP to uphold data integrity.
  • Monitor and process changes to employee personal data such as address changes.
  • Draft and coordinate letters to employees for promotions, title changes, compensation changes, etc. as directed by the HR Business Partner.
  • Ensure all paperwork is accurately saved within personnel file.
  • Upon confirmation by the HR Business Partner, manage termination process as documented in the SOP
    • Create post-employment documents to be distributed to exiting employees
    • Coordinate with other departments to confirm exit details including Facilities, IT, Payroll, etc.
    • Act as liaison with other departments and the HR Business Partner
    • Process termination in HRIS with appropriate data
  • Other duties as assigned.

General HR Coordination or Support

  • Conduct FLSA testing to determine exemption status of new roles.
  • Review and edit job descriptions, ensuring accurate record keeping of current and former versions.
  • Support Recruiting Function with
    • Scheduling interviews as directed by the Talent Acquisition Partner.
    • Post open positions on internal and external job site as directed by Talent Acquisition Partner.
    • May assist with screening resumes and/or candidate communication periodically.
  • Involvement in or management of various HR projects and initiatives.
  • Other duties as assigned.
