Human Resources Coordinator
Job Description
We are looking for a Human Resources Coordinator to join our HR team in Calabasas, CA!
The HR Coordinator will be responsible for the support of various Human Resources initiatives including administrative work-flow processes related to on-boarding, recruitment activities, processing employee changes, policy compliance and other routine HR activities.
The anticipated salary range for candidates who will work in Calabasas, CA is $26.00 to $32.46 per hour. This role is designated to work a hybrid schedule (3 days in office/2 day remote) and is non-exempt.
Essential Functions:
- Oversee the internal processes and workflows for recruiting approval forms, confidential personnel requests, and sales internship program approvals.
- Initiate, manage, and be a point of contact with 3rd party vendor for background checks.
- Manage pre onboarding process
- Assist Senior HR Coordinator in the preparation of end of employment letters and materials and coordinate with Payroll for final pay information.
- Track temporary employee end dates and coordinate final pay and termination paperwork with manager and Payroll.
- Monitor employment applications for employee referrals. Confirm and process referral bonus requests accordingly.
- Review and process education reimbursement requests.
- Review and approve temporary and contractor on-boarding documents.
- Audit weekly new hire and termination report from Payroll to ensure SOX compliance.
- Conduct periodic review of HRIS information including, “reports to” and other data as needed.
- Maintain electronic personnel files in ADP.
- Run basic reports in ADP.
- Act as a backup to Senior Human Resources Coordinator and assist with other tasks as assigned.
- Assign pre-employment testing to candidates.
- Provide basic guidance to employees and managers with interpretation of HR policies and procedures.
- Perform quarterly Policy Acknowledgement audits.
- Respond to telephone calls, emails and requests with a sense of urgency.
- Maintain current knowledge base of newest HR laws and regulations.
- Perform other related duties as required or assigned.
- Complete verification of employment.
Education & Experience:
- Minimum of 1 year of related experience in an HR support or administrative role preferably in multistate employer environment.
- Bachelor’s Degree in business management, or Human Resources is preferred.
- Intermediate to advanced proficiency with MS Office applications, familiarity with SharePoint is a plus.
- Experience using HRIS (ADP) systems is preferred.
- Strong sense of urgency and ability to deliver ahead of deadlines.
- Able to establish and maintain effective working relationships.
- Able to effectively work in a fast-paced environment and frequently manage multiple priorities.
- Strong organizational skills and attention to detail.
- Excellent written and verbal communication skills.
- Must be self-motivated, amendable to a variety of work projects and work efficiently independently or as part of a team.
- Sound judgment, a keen sense of discretion, integrity and confidentiality.
Physical Requirements:
- Prolonged sitting at a desk and working at a computer.
- Â Must be able to lift 15 pounds at a time.
