The HR Coordinator aids and supports the functional areas of the HR department. This role will work directly and assist the HR, Benefits, and Office Support teams to fulfill a variety of necessary tasks; this includes but not limited to providing excellent customer service while promoting and maintaining Tom James Company’s mission, values and culture.

ESSENTIAL FUNCTIONS:

  • Performs customer service functions by answering employee requests and questions
  • Updates employee information on the secured site
  • Completes I-9 forms, verifies documentation and maintains I-9 files.
  • Coordinates and executes on the end-to-end employee life cycle process including onboarding, transferring, & offboarding of employees in the organization.
  • Participates in new employee orientation
  • Processes invoices for Benefits & HR team
  • Maintains employee files
  • Assists HR Generalist/Benefits Administrator with benefits and leave programs as needed.
  • Assists with benefit file uploads as needed
  • Handles HR memo process for new hires, terminations, leave of absence, etc.
  • Supports HR programs and process through completing verifications of employment, unemployment claims, and health awareness certifications.
  • Supports open enrollment for all locations.
  • Makes photocopies; mails, scans and email documents; and performs other clerical functions
  • All other duties as assigned.

REQUIRED KNOWLEDGE, SKILLS & ABILITIES

  • Excellent general computer skills with strong Excel experience and the ability to quickly learn new software.
  • Strong verbal and written communication skills.
  • Excellent time management skills with a proven ability to meet deadlines
  • Ability to confidentially handle confidential and sensitive information and employee’s personal health information.
  • Ability to work as a team and remain flexible
  • Regular attendance required

 

WORK EXPERIENCE / EDUCATION REQUIREMENTS

  • Requires a high school diploma or an equivalent combination of education and experience; Bachelor’s Degree preferred
  • HR and/or Benefits experience a plus
  • SHRM-CP a plus

 

EQUIPMENT / SOFTWARE USED

  • Proficient with Microsoft Office Suite (e.g. Word, Excel, Outlook, etc.) required
