Your role at Baxter:

Provides overall clerical and administrative services to the Human Resources department. Provides filing and clerical services to HR Department to ensure that personnel documentation is properly filed at the employee records, maintaining those files updated and confidential.

What you'll be doing

Responsible for maintaining files updated, as well as, other correspondence and records, filing of documents at employees files.

Prepares employee records and conducts initial orientation for all new, regular and temporary employee (Benefits, Company Policies and training for HR on-line tools such as Self Service, Performance Managements, SIP, etc.)

Assists and supports during employees' activities and recognition programs.

Assists and supports community activities.

Perform administrative duties, such as maintaining employee database and sorting emails for the HR department

Provides clerical support to the HR area related to WIOA trainings, including record keeping, preparation of invoices and records for audit purposes.

Provides support to the H.R. Department in typing and preparing letters, presentation communications, procedures, manuals and any other type of document that is requested.

Supports with job postings, shortlist candidates and schedule job interviews. As part of Recruitment, participate in the interview and selection process of the candidate.

Maintain accurate records of employee attendance and leaves.

Responsible for updating and maintaining Workday data. Ensures that employee changes are properly processed, audits trails to ensure that the data entered in the system is valid and accurate and follows up changes with the HR Center.

Completes employee documentation requests such as employment verification letters, requests made by Department of Labor, medical insurance plan, etc.

Maintains effective communication with employees at all levels of the Company. Provides accurate orientation and information to employees regarding Benefits, Policies and other Human Resources related areas as requested.

Maintains employees communicated detailed plasmas screens and HR bulletin boards.

Coordinates Service Award Program.

Assists employees and managers with the utilization of employee and/or manager Workday self-service applications and directs them to sources of information including Self Service, Global HR, Policies and HR Center.

Support Employee Relation Program, complete employee / facility investigations and in the administration of disciplinary actions. Complete and update employee complaint log.

Provides information and assists employees with the utilization of the 1165 ( e ) SIP (Saving & Investment Plan 165) and advises them to sources of information including Voya Financial.

Meets and completes timely basis current and other tasks assigned.

Ensure smooth communication with employees and timely resolution to their queries.

Faxes, types, composes, photocopies all correspondence.

Promote a zero-harm workplace, and assure that required EHS resources are available and that all applicable EHS practices and rules are being followed by supervised employees.

Observes confidentiality, ethical behavior and data privacy rules at all time.

(PHYSICAL DEMANDS):

Light Work: Exerting up to 20 pounds of force occasionally and/or a 10 pounds of force frequently, and/or a negligible amount of force constantly to move objects. Physical demands requirements are in excess of those for Sedentary Work. Even though the weight lifted may be only a negligible amount, a job should be rated Light Work: (1) when it requires walking or standing to a significant degree; or (2) when it requires sitting most of the time but entails pushing and/or pulling of arm or leg controls; and/or (3) when the job requires working at a production rate pace entailing the constant pushing and/or pulling of materials even though the weight of those materials is negligible.

What you'll bring

Associate Degree and/or Bachelor in the area of Administration or Human Resources Management or related areas.

One to five years of proven experience in the administrative or Human Resources field.

Excellent organizational skills.

Effective oral and written communication skills.

Computer literate.

Hands-on experience on computer programs, such as MS Word, Excel, Powerpoint.

Ability to work with multiple projects and priorities.

Partnership and quality oriented.

Must be diligent, have the ability to meet deadlines, handle sensitive, confidential information and be able to multitask and prioritize workload.

Requires a high level of confidentiality and discretion.

Bilingual English/Spanish
