[IBM Japan_Global Real Estate] Strategy & Transactions Program Manager

Your Role and Responsibilities

Responsible for the overall management system around the real estate lease transactions leasehold or freehold required to supply appropriate business space in support of IBM operations for a defined portfolio subset. Responsible for the âend to endâ lease or own lifecycle and application of the approved Lease and Freehold process from initial requirement identification validation and acquisition critical date and market monitoring throughout the duration of IBMâs tenure and eventual lease or freehold disposal when the space becomes surplus to requirements.
Portfolio Planning Support: Work in close collaboration with the Portfolio Planning team and IBM Business Units as appropriate to understand and transpose business unitâs stated operational requirements into real estate requirements in preparation for lease transactions.
GRE COE and Geo Interlocks: Continuously engaging and collaborating with GRE COEs and the Geo operational team in order to ensure all proposed transactions are fully defined socialized and delivered in compliance with IBMâs workplace technical and safety standards and Enterprise programs and initiatives.
Supplier Partnering: Work in partnership with transaction suppliers as an operational extension of the GRE team in order to ensure optimized transactions in all given circumstances and to collaborate in continuously monitoring real estate markets to identify and leverage potential value creating opportunities.
Global Lease Process: Responsible for ensuring continuous and consistent application of IBM Global Lease Process within the overall management framework.
COL111: Ensure continual compliance to Corporate Instruction Letter 111 and other relevant governance with regard to both Income and Expense lease commitments. Work closely with suppliers in managing the development of real estate cases and preparation and submission of Real Estate Requests and gathering of necessary approvals.
Transaction Program Manager Collaboration: Working in continual close collaboration with the Real Estate Strategy and Transactions Lead and the Transaction Program Management teams as âOne Teamâ in order to communicate and update business requirements supporting the proposed real estate transaction for solutioning.
âEnsures partner performance within specific functional discipline through ongoing development of partner performance criteria analysis and audits of partner performance participation in partner quarterly business review program and maintaining the partnerărelationship. Contract administrator of partner agreements including adjustment of partner scope of work or service levels where appropriate and maintenance of contract terms and conditions. Completes required activities to reconcile cost savings with Strategic Spend Management. Completes activities required to support transitions of strategies. Ability to access and leverage supplier innovation thought leadership and in depth market analytics and research in order to best assist IBM requirement development.â
Brand and Business Unit Engagement: Closely collaborating with IBM Brands and Businesses as âsource of demandâ. Working continuously to understand complex and evolving requirements on a portfolio wide basis in terms of business imperatives such as location access to talent and customers. Maintains a highly developed network of business unit contacts both at market and WW level and deep understanding of IBM portfolio to support GRE leadership.
Geo Team Interlocks: Working to continually support of the Geo GRE teams responsible for the operation of the real estate platform and representing GRE âon the groundâ to assist in the complete understanding of business requirements and business needs as they evolve alongside IBMâs transformation.
Analyses financial opportunities and alternatives. Minimizes legal and financial exposure on real estate transactions. Manages the signing of legal documentation by the appropriate authority within IBM. Ensures leases are registered in accordance with local requirements. Contributes real estate expertise to Fall Plan to identify requirements for capital projects including: appropriate level of due diligence due diligence funding requirements partner resourcing and participation required from CRE site operations and Global COE.
Ensures that the analysis of the Market and Risk Intelligence and corporate guidelines is completed by appropriate roles. Accountable and is responsible for collecting Market and Risk Intelligence (includes such data as RE Market Cycles and Opportunities Infrastructure and Resources) and compiling globally. Is accountable for ensuring that this data is gathered stored and published to the appropriate team members. Owns the translation of this information into context relevant to IBM and applies internal IBM knowledge to the Market Intelligence that has been collected. Is accountable and responsible to ensure that actionable recommendations are developed and tracked. This role is accountable for the Macro level view of site utilization in the assessment of the Real Estate Portfolio Accountable for the work around assessing the supply (current and future options) vs. demand by type location and duration. Receives no supervision in execution of function. Manages and provides direction and insight to leveraged client and partner teams. Expected to work outside of historic comfort zone and break new ground within the Global Portfolio and in interfacing with the Global leadership. Expected to challenge the status quo. Instructs and manages partners in the site selection / disposal process. Instructs and manages partners to effectively negotiate real estate terms in a timely manner personally negotiating when required. Instructs lawyers and manages legal review of documentation. Ensure terms and conditions are negotiated that maximize results to IBMâs best interest.
Required Technical and Professional Expertise
ă»10+ years of areal estate leasing and/ or equivalent experience in facility management corporate real estate project management
ă»Must process excellent interpersonal and communication skills (written and verbal in both Japanese and English)
ă»Must be able to handle multiple projects simultaneously.

ă»Specific skills in corporate real estate (leasing transaction management) facility management and project management (Real Estate related license preferred)
