Job Summary

Responsible for supporting the strategic and operational needs of the Digital and Technology teams. Owns, manages, and ensures successful planning and execution of project activities including but not limited to: engagement with leadership, coordination and scheduling of project meetings, documentation creation and management, and daily operations of the Digital and ISD Offices. Reports to the Chief Digital Officer (CDO) or Chief Information Officer (CIO).Job Description

Experience / Knowledge / Skills:

  • Requires 1-3 years of relevant experience, preferably in roles supporting large departments and operations

  • Project experience specific to digital and/or technology also preferred

  • Project coordination experience preferred

  • Capability to efficiently complete tasks in a fast paced environment

  • Exception organization skills and detailed oriented

  • Effective oral and written communication skills.

  • Strong, above average, computer skills, including Microsoft Suite (Word, Excel, PowerPoint, Visio), project management software, learning management systems, etc.

  • Curious about the way things work and have the distinct ability to pick up both software and organizational processes easily.

PRINCIPAL ACCOUNTABILITIES

Engage with leader and executives

  • Leader and executive engagement will be inclusive of one-on-one and group meetings prior to scheduled activities and deadlines
  • Develop and track list of deliverables and assist with/monitor for completion
  • Proactively follow progress of deliverables and perform appropriate interventions when necessary

Coordinate and Schedule Project Meetings

  • Engagement with various stakeholders including Admins, Leaders, and in some cases Executives.

  • Coordinate content needs, content development, meeting facilitators, and overall participant readiness for meetings

  • Send/update calendar invites on behalf of the CDO/CIO leadership

Preparation and accountability of project documentation and documentation management

  • Manage meeting minutes, PowerPoint presentations, excel lists, etc.
  • Set up, organize and maintain project documentation via shared locations
  • Assist with managing permissions and access to time sensitive project documentation
  • Responsibility is inclusive of authoring, updating, revising, maintaining various time-sensitive documentation.

Manage data needs for the CDO/CIO office

  • Identify data needs for internal use as well as requirements for supported internal customers
  • Establish data capture, structure and dissemination mechanism
  • Develop data mechanism, communicate the need and process to impacted stakeholders
  • Drive the on- time data collection, monitor the data inputs, synthesize the data received to determine whether or not overall data requirement is met
  • Analyze, synthesize and package data, determine next steps and drive the outcomes required by the data

Onboards/offboards project resources and facilitates external partner engagement

  • Develop, implement, maintain, and execute onboarding/offboarding process and documentation for project resources
  • Ensures alignment and access of new resources to existing project team members
  • Holistically removes offboarding resources from all project communications, systems, documents

Manages daily operations and projects for the CDO/CIO offices

  • Project manage the on-time task creation and scheduling and completion of governance related project tasks
  • Coordinate directly with staff to manage the project communication and deliverables
  • Assist the CDO/CIO leadership with documenting, tracking and following up on priorities set forth by the office
  • Manages just in time projects
  • Assist with Special Projects within CDO/CIO offices some of which may be ad hoc and others ongoing
  • Provides after hours support for time sensitive work
