Position Description ::
The ideal candidate is a detail-oriented, service-driven professional with experience in coordinating complex travel arrangements and working directly with VIPs, influencers, and internal stakeholders. This position requires impeccable organization, communication skills, and a passion for creating best-in-class experience.
Responsibilities:
Travel Management:
β’ Coordinate all aspects of influencer travel for clientβs events, including airfare, ground transportation, accommodations, and other logistics.
β’ Serve as the primary point of contact for influencers regarding their travel needs, ensuring all arrangements are tailored to their preferences and schedules.
β’ Partner closely with clientβs travel agency and internal travel teams to book, confirm, and adjust travel itineraries as needed.
β’ Document, oversee and manage travel budgets.
β’ Compile and share clear, up-to-date documentation outlining immigration eligibility requirements across various regions.
VIP Service:
β’ Provide white-glove service to influencers, ensuring a seamless and professional experience from initial contact to post-event follow-up.
β’ Proactively address and resolve any travel-related issues, maintaining clear communication with influencers and stakeholders at all times.
Cross-Team Coordination:
β’ Collaborate with internal teams, including Influencer Management, Events, and Travel Operations, to align on logistics and expectations for each event.
β’ Work with the Events team to understand event schedules and provide tailored travel support to align with programming and timelines.
Documentation and Communication:
β’ Maintain accurate records of travel itineraries, preferences, and expenses.
β’ Create and share detailed travel documents, including confirmations, itineraries, and FAQs, with influencers.
Process Optimization:
β’ Identify and implement improvements to travel coordination workflows to enhance efficiency and ensure best practices.
β’ Leverage feedback from influencers and internal teams to continuously refine processes and elevate the VIP travel experience.
β’ Support on-site Event Production
β’ Assist the Events team with on-site production needs, including coordinating schedules, managing vendor relationships, and supporting day-of logistics.
Qualifications:
β’ 3β5 years of experience in travel coordination, event logistics, or a related role, preferably in the entertainment, gaming, or hospitality industries.
β’ Exceptional organizational skills with the ability to manage multiple priorities and deadlines simultaneously.
β’ Strong interpersonal and communication skills, with a proven ability to work directly with VIPs, influencers, and diverse internal teams.
β’ Experience coordinating international travel, including navigating visa and entry requirements.
β’ Detail-oriented mindset and commitment to delivering best-in-class service.
β’ Familiarity with travel booking systems and tools; experience working with travel agencies is a plus.
β’ Ability to remain calm and solution-focused under pressure.
β’ Passion for gaming and understanding of client culture and community is a strong plus.
