Information and Correspondence Specialist
Job Description
Andworx is hiring an Information and Correspondence Specialist to assist with executing and maintaining a communications strategy targeting senior leadership and internal organizations in support of our Federal client. In this position you will have a strong attention to detail and possess clear written and verbal communication skills. You will provide support of high quality for all internal and external correspondence and information transfers between business units and internal agencies in addition to correspondence and task management activities.
Note: Work location is currently a combination of on-site and remote work within the Washington, DC Metro area.
Minimum Qualifications
- At least 5 years of experience overseeing the flow of information throughout an organization including handling, formatting, and cataloging of correspondence.
- Experience with information management practices and improving quality of organizational information processes, relating to organizing and continuously identifying, retrieving, preserving information.
- Strong written and verbal communication skills, including the ability to communicate and present ideas and solutions concisely and clearly.
- Records management experience using different tracking solutions.
- Experience providing government agency support for all internal and external correspondence, information transfer between business units, to include agency internal tasking and Correspondence and Task Management Activities (CATMS).
- Active Secret clearance.
- Eligibility for this job requires U.S. citizenship.
Responsibilities
As the Information and Correspondence Management Specialist you are responsible for the organization, maintenance, use, retrieval, and control of the flow of information created by business activities, and transactions within our client’s purview:
- Support the execution and maintenance of communications strategies targeting senior leadership and internal department initiatives.
- Assist the client team with all internal and external correspondence and information transfer between business units, agency internal tasking and correspondence, Task Management Activities and account manager.
- Assess incoming tasks and determine action officer, appropriate tasks, and required approval level.
- Review all correspondence packages for completion and accuracy with DoD and Organization standards, assist action officers as needed with making edits to match standards.
- Develop and present trainings to staff quarterly, provide additional training as needed to action officers to ensure standards are followed.
- Brief leadership and organization weekly on current tasks and their status.
- Identify, document, and provide input to information management practices to improve the quality of organizational information processes, relating to organizing and continuously identifying, retrieving, and preserving information.
- Assist in the appraisal and analysis of information to assist client’s staff in making, documenting, and executing organizational decisions.
- Support the implementation and maintenance of DoD365 and Microsoft365.
- Respond to specific requests for information by searching, locating, retrieving, and delivering information by following established procedures and security protocols which protect the integrity and confidentiality of information.
- Assist in the implementation and execution of requirements relating to the transition to electronic records including (OMB Memorandum 19-21, “Transition to Electronic Records):
- Identify, prepare, and ship all appropriate hardcopy records to the National Archives on a timely schedule.
- Organize and cleanup duplicates and redundant obsolete files found within our clients HQ and digital space.
- Assist in the digitization of analog information currently captured within hardcopy documents.
- Meet agreed upon deadlines for Information and Correspondence Management needs.
