We are seeking an experienced Administrative Assistant to be a proactive, strategic partner to the Principal Director and staff of the Integrated Missile Warning, Tracking, and Defense Sub-division of the Space Systems Group.
The staff at SSG is instrumental in the development, acquisition, and integration of ground and space systems to support this mission that is critical to the United States Space Force, its partners, and the nation. This role provides collaborative administrative support to ensure effective and efficient sub-division operations. As an integral member of the organizations' management team and focal point for the sub-division, the individual resolves problems quickly, takes ownership of processes and procedures, and works closely with leaders, colleagues, and customers across the enterprise to ensure the sub-division runs smoothly and meets internal/external deadlines.
Work Model: This position can be onsite in El Segundo or a hybrid work model offering a combination of remote and onsite work.
What You'll Be Doing
  • Serves as a sub-division liaison by distributing information, coordinating activities, and interfacing with all levels of management, coworkers, contractors, and customers by phone, email, and in person
  • Spearhead critical administrative functions, such as organize/coordinate internal and external meetings (physical and virtual), high volume and strategic calendar support, prepare presentations, make travel arrangements, coordinate security visit requests/certifications, complete travel expense reports, track action items
  • Prepare, format, proofread, and maintain records of annual, semi-annual, and quarterly corporate reports, bi-weekly reports, and periodic division products and presentations while tracking progress to meet deadlines
  • Play an essential role in timesheet administration and auditing
  • Provide assistance on special projects related to the sub-division, division and organization
  • Handle sensitive and personnel related information appropriately and support sensitive management functions
  • Collaborate with administrative assistants within the subdivision, division, and across the corporation to achieve coverage and increase efficiency
  • Lead and mentor other support staff and is a role model by demonstrating professionalism, team collaboration, technical expertise, and leadership behavior that is consistent with the company's values

What You Need to be Successful
Minimum Requirements:
  • A high school diploma or GED equivalent with at least 5 years of experience
  • Experience with Microsoft Office applications, including SharePoint, Teams and Office 365 web apps
  • Advanced technological fluency across a wide range of tools and platforms
  • Experiencing researching, compiling information, and preparing reports
  • Proficient in coordinating complex scheduling and logistics for meetings, conferences, and events and interacting with internal and external collaborators
  • Effective communication & interpersonal skills (collaboration, resiliency, strategic thinking, problem-solving, emotional intelligence, judgment) across all levels of the organization
  • This position requires ability to acquire and maintain a security clearance, which is issued by the US government. U.S citizenship is required to obtain a security clearance

  • 5+ Years of relevant experience
  • Familiarity with enterprise software packages such as Concur and Workday
  • Familiarity with Aerospace corporate organizational structures, policies, processes, and practices

  • Examples of contributing to the manager(s) goals and objectives.
