Position Summary

 

The Interim Visual Merchandising Coordinator will work closely with the Visual Merchandising Project Managers supporting the day-to-day admin duties. This individual will take ownership of PO tracker by ensuring that the information is accurate and up to date, ensuring projects are on schedule and within budget, and Provide administrative support to the Visual Merchandising team.

 

Responsibilities

 

· Working closely with Visual Merchandising PMs supporting day to day activities.

· Provide feedback to the Visual Merchandising PM on Monthly store visits, including any feedback from Store on the fixtures - detailed before and after photo reports

· Support all aspects of quotes/PO handling – track and log into budget tracker

· Assist with custom projects as needed

· Liaising with teams such as sales, design, brand and marketing to align on projects, often months in advance, including in-store displays, Hotspots and FSDUs

· Prepare photo presentations for monthly update to the wider teams

· Coordinating shipping and product within the region

· Coordinating calendar for installations within the region

· Create VM Trackers per retailer and own updates on weekly comms to the sales team

· Support with standard administrative tasks (scheduling, processing expenses &invoices, booking travel)

 

Purchase Order Management:

- Create and process purchase orders for the Visual Merchandising department.

- Track the status of all POs, ensuring timely approvals and processing.

- Liaise with suppliers and vendors to confirm order details and delivery schedules.

- Resolve any issues or discrepancies related to POs in a timely manner.


Project Tracking:

- Maintain and update project trackers with accurate and current information.

- Monitor the progress of merchandising projects, ensuring they are on schedule and within budget.

- Communicate project updates to relevant stakeholders and escalate issues as needed.

- Assist in coordinating project meetings, preparing agendas, and taking minutes.


Administrative Support:

- Provide administrative support to the Visual Merchandising team.

- Manage departmental communications, including emails and phone calls.

- Organize and maintain departmental files and documentation.

- Assist with budget tracking and reporting.


Collaboration:

- Work closely with cross-functional teams, including Marketing, Sales, and Supply Chain, to support merchandising initiatives.

- Foster strong relationships with external vendors and partners to ensure effective collaboration.


Requirements

· Experience working in an administrative or similar role.

· Experience of Raising PO’s and general administrative tasks

· Strong computer skills and demonstrated proficiency in MS Word, Excel, and PowerPoint is essential

· Ability to work with people in various disciplines: marketing, product development, sales etc.

· Superior organizational and communication skills (verbal and written)

· Ability to work in a fast-paced environment and being able to work towards deadlines.
