Position Overview
The Meeting Solutions Coordinator intern supports the Autodesk Global Meeting Solutions team with organizational tasks and projects related to meetings and events.
Responsibilities
- Meeting and Event Project Support
- Prepare meeting RFP's and proposals
- Document budget projections and actuals in Cvent
- Update and reconcile hotel points accounts
- Update and reconcile commission accounts
- Process contracts in Procurement and Legal systems
- Communicate with hotels and stakeholders regarding event details and follow up
- Maintain stakeholder feedback in Cvent
- Facilitate Uber Eats and other catering
- Creating floor plans for various set ups
- Payment Management
- Work with suppliers to ensure they are approved in Procure to Pay database
- Open purchase orders and manage vendor payments/deposits
- Work with stakeholders to facilitate event related payments and cross charge those expenses as required
- Reconcile and provide appropriate documentation for monthly event card charges
- Site Visits
- Schedule detailed site visit itineraries for team and stakeholders
- Meeting Concierge
- Assist stakeholders in finding offsite venues and activities including restaurants, team building activities, and winery events
Minimum Qualifications
- Must be at least 18 years of age and actively enrolled in a degree granting academic institution at the time of internship, with at least one academic term to complete post internship
- Experience in or desire to learn about the meetings industry
- Have a positive can-do attitude
- Keen attention to detail in a deadline-oriented environment
- Resourceful team player with the ability to solve problems and issues independently
- Able to work independently and be a self-starter
- Able to thrive in a fast-paced environment and effectively prioritize workloads with multiple programs
- Professional, flexible personality and enjoy working with people
- Experience supporting customer service issues to resolution
- Able to work with a wide variety of stakeholders across the organization with excellent written and verbal communication skills
- Comfortable learning new technology with proficiency in Microsoft Office applications
Preferred Qualifications
- Two years corporate, event agency or hotel administrative experience
- Cvent experience a plus
About the US Intern Program
The 2023 U.S. program runs for 12 weeks (May 22 - August 11 or June 12 - September 1). All internships are paid. As an intern, you will have the opportunity to contribute to meaningful projects, be mentored by industry leaders, work alongside peers from universities all over the country and participate in tech talks and other activities designed to support your personal and professional development. US recruiting begins in the Fall and concludes end of March. Salary is one part of Autodesk's competitive package. For U.S.-based roles, we expect a starting annualized base salary between $41,000 and $81,400. Offers are based on the candidate's experience and geographic location, and may exceed this range.
