Job Title: Interpreting / Translations Coordinator
Department: Interpreting and TranslationsSUPERVISORY RELATIONSHIPSReports to: Interpreting Department Manager, Translations ManagerBasic Function
This position is split between Interpreting and Translations department. They will be responsible for entering translations into LTC’s databases promptly and coordinating with the Translation department. They will also be responsible for verifying client invoices and overseeing interpreter pay.
Essential Duties
Translations Support – ~20 hours a week:
- Assist with reading through and confirming departmental emails.
- Learn and assist with entering projects into LTC’s databases promptly and ensuring all required information is entered efficiently and accurately.
- Learn how to prep quotes for the department for various clients requesting services from LTC.
- Assist with sending out completed projects to clients to meet deadlines.
- Assist the Translation department with a Plunet database clean-up project that will include entering updated pricing information and rates.
- Additional projects and tasks as needed
Interpreting Support – ~20 hours a week:
- Responsible for all ASL and Foreign Language interpreter pay and client invoicing
- All verifying must be done by the 5th of each month
- Provide accurate reporting to the Interpreting Manager and President through standard reports, weekly plans, and weekly meetings.
- Answer client questions regarding invoices, within 2 hours in a professional manner
- Answer interpreter questions regarding payment
- Resolve payment/invoice discrepancies in a timely manner
- Enter all Signed Quotes and Agreements into Interpreter Intelligence
- Ensure rate plans are entered accurately
- Provide quality customer service when answering phones, emails, and when entering requests from clients
Additional Duties:
- Providing any other services as needed by LTC
Position Qualifications
Education: Bachelor’s Degree preferred.
Experience: Experience working with international vendors and clients, Interpreting or translation experience preferred.
Qualifications:
- Possess be proactive and demonstrate strong planning and organization skills with a project management mindset
- Is experienced in ERP and SAP systems, Microsoft 365 (Outlook, Calendar, Excel, PowerPoint), and CRM databases (Microsoft Dynamics).
- Has a focus on continuous improvement and delivering results; must be capable of working with urgency
- Detail oriented and focus on quality of work
- Promotes an inclusive and open-minded atmosphere, and enjoys collaborating and exploring different perspectives
- Good written & verbal communication skills are required
