The World Bank has twin goals of ending extreme poverty and promoting shared prosperity. Its capacity to fulfill these goals is underpinned by a Treasury Vice Presidency (Treasury) that is widely recognized for its dynamic professionalism and its record of innovation in obtaining outperformance for its clients in all the Treasury's functions.

Treasury is the Vice Presidency performing treasury functions for the IBRD and IDA and, to varying degrees, for other members of the World Bank. Its activities are organized and grouped into six departments: Capital Markets, Investment Management, Pension and Endowments, Quantitative Solutions and Analytics, Treasury Operations and, Financial Advisory and Banking. Treasury has been a large and significant player in the international financial markets for more than fifty years and has achieved a global reputation as a prudent and innovative borrower, investor, and risk manager.

The Pension and Endowments Department, Investment Team (PENIN) is responsible for the financial management and administration of the World Bank Group's funded benefit plans, including the retirement scheme - the Staff Retirement Plan, the retiree medical and life insurance programs - the Retired Staff Benefits Plan, and other ancillary benefits. The financial management includes asset management responsibilities and actuarial support. PENIN manages about US$40 billion invested across a range of asset classes, from fixed income to public equities to private equity, real assets and absolute

return strategies. The Pension Finance Committee, appointed by the Bank Group President and

chaired by the Chief Financial Officer, has oversight responsibility for the financial management

of the plans. PENIN's responsibilities also include the delivery of technical assistance on

multi-asset class investment management to pension plans, endowments, and funds for the future, and

the management of the Pension Administration function. PENIN identifies, selects, evaluates, and

monitors investments, mainly through outside managers, on a global basis.

The responsibilities of PENIN's Investment Administration team include:

  • Managing, coordinating, and monitoring Investment and Legal investment pipelines.
  • Logistical support for due diligence and documentation for new investments including investment memos, performance analysis, portfolio analysis, peer comparison, vintage year using benchmarking and comparative statistics.
  • Managing the Asset Class service accounts, disseminating, distributing, and filing key investments information.
  • Coordinating the execution and archival of all legal documentation.
  • Coordinating ongoing communication with asset managers including meetings, due diligence sessions, annual General Meetings, site visits, conference calls and/or Zoom sessions and other outreach on new products and funds.
  • Managing, monitoring, and maintaining the procedures for processing the subscription documents,

    tax and other legal documents.
  • Supporting the asset class teams, including managing the team calendars, travel schedules and logistics.

*Roles & Responsibility:

The Investment Admin Associate/Analyst will report to the PENIN Manager and will have multiple responsibilities, including:

  • Serving as point person to support PENIN's initiatives and new projects aimed at improving and enhancing work processes and procedures.
  • Overseeing and providing guidance, leadership and mentoring for junior admin staff within the investment team; working and collaborating with the other Executive, Senior Financial Assistants and Financial Assistants.
  • Coordinating PENIN Admin work program across the department, private/public asset classes teams as well as between PENIN and Legal Finance (LEGFI) and Pension Middle Office (PENMO), including but not limited to the following:
  • Providing specialized assistance to the asset class teams, managing the team calendar, travel schedule and logistics, prepare statements of mission objective and ensure it is within PENIN's operational guidelines.
  • Overseeing the weekly Investment Committee Meeting's schedule and agenda, ensure proper documentation is saved to OneDrive, U drive and WBdocs. Serve as back-up minute-taker.
  • Managing, coordinating and monitoring Investment and Legal investment pipelines.
  • Managing Admin team inputs/back up support for due diligence and documentation for new investments including investment memos, performance analysis, portfolio analysis, peer comparison, vintage year using benchmarking and comparative statistics. Prepare partnership profile templates and maintain and update master supervision files.
  • Managing the Asset Class service accounts, disseminate and coordinate key information to PENMO and Legal Finance (LEGFI), and proper filing in network drives.
  • Managing preparation of the annual financial disclosure letter to the Office of Ethics and Business Conduct (EBC).
  • Managing PEN client invoices on travel reimbursements assuring accuracy, client confidentiality, collection, and track and maintain the receivables schedules to be sent to RM and coordinate with Accounts Receivable to reconcile with accounting records and for proper crediting to appropriate internal order codes (IOs).
  • Responding to managers' inquiries and assist in resolving manager-related issues; disseminate requests to relevant units and coordinate obtaining timely and accurate responses.
  • Coordinating systematic communications to managers including meetings, due diligence sessions, Annual General Meetings, site visits, conference calls and/or Zoom sessions and other outreach on new products and funds.
  • Coordinating the execution of all legal documentation with LEGFI and PENIN. Also supervise in the timely and accurate processing of all legal and tax documents, coordinating with LEGFI and PENMO as needed.
  • Handling complex Anti Money Laundering/KYC and Tax forms, documents with minimal supervision.
  • Managing, monitoring, and maintaining the procedures for processing the subscription documents,

    tax and other legal documents.
  • Processing POs, invoices, STC contracts and liaising with BPS and GCS to resolve issues and assist in finding solutions.
  • Assisting in external and internal audits.

Selection Criteria

  • Degree in relevant field (preferably finance) and a minimum of 10 years relevant work experience or equivalent combination of education and relevant experience.
  • Fundamental knowledge and understanding of finance and investment analysis and terminology.
  • Experience with supporting Pension/multi-asset class (public and private markets) investment teams, understanding investment process and technology/systems.
  • Familiarity with PENIN's multi-asset class portfolio composition, managers, and peer LPs.
  • Experience and solid working relationship with WBG LEGFI counsels and legal document review process for fund investments and portfolio monitoring.
  • Familiarity with IBRD's Anti Money Laundering/KYC and Tax Status.
  • Proven capacity to coordinate complex investment and legal pipelines and admin work programs of several junior team members.
  • Good knowledge of and demonstrated experience in specialized administrative/operational support functions (e.g., database management, knowledge management, task management, major event/course planning, etc.) and ability to apply relevant procedures, processes and systems.
  • Thorough knowledge of Bank Group policies, procedures, and practices, including a good understanding of those related to Pension Investments.
  • Excellent office technology skills, including experience with SAP, Microsoft Office (Excel and PowerPoint). Familiarity with other quantitative analytical packages is desirable.
  • Strong Excel skills and experience with basic financial analysis will be an advantage.Strong knowledge with Investment databases and portals (such as Cambridge Associates, Burgiss, Preqin, Pitchbook, eVestment, Intralinks, Sungard, Altareturn, Dynamo, etc) to produce reports and analysis.
  • Dedicated team player with excellent organization skills, proactive, keen attention to detail, and a demonstrated ability to handle a variety of concurrent activities in a timely manner with minimal supervision.
  • Excellent interpersonal and communication skills, with ability to interact tactfully in internal/external contacts at all levels, exercising good judgment in handling confidential and sensitive information.
  • Creative thinker, and quick learner, with initiative, drive and attention to details.
