Investment Coordinator

We have an exciting opportunity for an Investment Team Coordinator working in our Boston office. They will be responsible for supporting the growing Investment team in accomplishing an ambitious set of fundraising, departmental, and company goals. This will include communication with a wide range of domestic and international institutional investors, involvement with all departments at the firm, and shaping critical processes as the firm grows. The Investment Team Coordinator will be a highly resourceful team player, who is comfortable working in a fast-paced environment, sometimes under pressure, while remaining flexible, proactive, and efficient. This individual will have the ability to exercise good judgment in a variety of situations, with strong written and verbal communication, administrative, and organizational skills, and the ability to maintain a realistic balance among multiple priorities.  Â
Duties and Responsibilities:
• Possesses and maintains status as a Notary Public, registered in the Commonwealth of Massachusetts. If not, this must be procured within the first month of employment at the company’s expense.
• Prepares complex correspondence from dictation, reports and other-format documents, using experience and judgment to determine what should be included in each document
• Screens telephone calls and incoming mail while responding promptly to incoming correspondence as appropriate
• Maintains an updated and accurate calendar as well as schedules appointments and office meetings for all officers in the Investment group.
• Greets and manages all guests of the Investment team and handles all guest needs for the duration of their stay (includes logging guests into the building security system)
• Maintains the Investment team’s contact database and the extensive filing system for correspondence, business matters, and other related data, using Salesforce
• Liaises with the Investor Relations team on the quarterly report process; directly prepares the investment summaries and provides the Investor Relations team with the required information and data on behalf of the Investment team
• Liaises with the Administration team and participates in related ad-hoc tasks as necessary for other team members
• Assists with the annual investor meeting, however necessary
• Photocopies, scans, and/or mails information as needed or requested by the Investment team
• Prepares outgoing mail using postage meter for the Investment team
• Performs other duties as assigned
• Ability to commute and work in office 3-4 times per weekÂ

Qualifications and Experience:
• Bachelor’s degree or at least five years of administrative or secretarial experience
• Proficiency with Internet Explorer, Microsoft Office Suite (Excel, PowerPoint, Word, Outlook and Access), mobile devices and (multi-line) phone systems
• Experience managing multiple assignments/projects and conflicting priorities with the pressure of short, demanding deadlines in a fast-paced environment
• Ability to apply common sense understanding to carry out instructions furnished in written, oral or diagram form
• Strong organizational and interpersonal skills
• High level of professionalism and demonstrated ability to maintain confidentiality as required and appropriate
• Basic accounting and business knowledge is preferred
Physical/Mental/Visual Demands and Work Environment:
• The job is conducted in a mostly in office work environment, sitting most of the time
• Approximately 90% of this position’s duties require use of a computer
