Role: The IT Project Manager is responsible for leading the planning, execution, and delivery of best-in-class technology initiatives and resources for our sales team, while also playing a key role in driving and supporting strategic projects across all departments. Essential Duties & Responsibilities: Project Planning & Initiation • Define project scope, goals, and deliverables in alignment with business objectives. • Work with stakeholders to develop detailed project charters and business cases. • Identify key milestones, resource needs, and potential risks during the planning phase. • Lead kick-off meetings to establish a shared understanding of project objectives, roles, and expectations. Project Execution & Delivery • Develop and maintain comprehensive project plans using Asana or other modern tools. • Assign and monitor tasks, ensuring team members understand responsibilities and timelines. • Oversee day-to-day activities, track progress, and ensure deliverables meet quality standards. • Coordinate with cross-functional teams to ensure integration points are managed effectively. Communication & Stakeholder Management • Facilitate regular status meetings and stand-ups to review progress, blockers, and next steps. • Prepare and deliver project updates, dashboards, and executive summaries to key stakeholders. • Maintain open lines of communication across all levels of the organization. • Manage expectations, handle escalations, and resolve conflicts quickly and professionally. Risk, Issue & Change Management • Proactively identify, document, and mitigate risks throughout the project lifecycle. • Maintain an issue log and drive resolution strategies in collaboration with the project team. • Manage scope changes via formal change control processes and assess impacts on timeline/budget. • Ensure all changes are documented and communicated clearly to all stakeholders. PMO Alignment & Governance • Ensure adherence to PMO best practices, templates, and reporting standards. • Contribute to continuous improvement of project methodologies, tools, and templates. • Participate in PMO reviews, audits, and lessons-learned sessions. • Help standardize reporting and project health metrics across the portfolio. Budget & Resource Management • Assist in estimating project budgets and tracking expenditures. • Monitor resource allocations and adjust as needed to maintain velocity and quality. • Work with department leads to secure necessary staffing and resolve resource constraints. • Report on cost variances and recommend corrective actions when needed. QUALIFICATIONS AND COMPETENCIES Know-How, Technical Skills and Experience • Strong command of project management tools and familiarity with PMO frameworks (e.g., PMI, PRINCE2). • Excellent communication, leadership, and organizational skills. • Proven ability to manage multiple projects simultaneously and adapt in a dynamic, fast-paced environment. • Experience working with third-party vendors and cross-functional teams. • Proficient in tools such as Microsoft Project, Asana, or Jira. • Business process mapping or change management experience is a plus.
