Diligent Robotics is searching for an experienced IT Systems and Facilities Administrator responsible for both Hardware and Software IT Solutions that will enable the organization to succeed. This role also includes ticket management, crisis control, maintaining and upgrading existing systems as necessary. Additionally, to provide administration support for the Diligent Robotics HQ facility. To maintain efficiency and administration systems, looking to improve and develop where necessary. A strong communicator who can receive and process complex information in an efficient way and in return pass on required key-information and action points to the Team.

Your aim is to ensure timely, well designed IT resolutions while minimizing disruptions to operations. 

Responsibilities:

  • Manage Facilities tickets that come into the ITSM queue
  • Oversees building maintenance by organizing maintenance companies to keep the office clean and safe and ensure its appliances are in good working order
  • Manages the custodial functions
  • Ensures security and emergency preparedness procedures are implemented properly
  • Manages and reviews service contracts
  • Conducts and documents regular facilities inspections in partnership with Security
  • Checks completed work by vendors and contractors
  • Recommends maintenance, mechanical, electrical, and facility design modifications
  • Communicates workplace safety precautions to employees
  • Manage, implement, and improve conference room systems
  • Forecasts, allocates, and supervises the financial and physical resources of the facility management.
  • Provision and deprovision office IT hardware and web identities that align with IAM policies and best practices (including ongoing updates and backups)
  • Carry out duties related to IT asset lifecycle (procurement, configuration, maintenance/triage, disposal/reuse) laptops, desktops, servers
  • Procurement of IT equipment
  • Provide documentation and technician specifications to management for planning and implementing new or upgraded solutions
  • Automating manual tasks; create/improve small tools that help make team operations more efficient
  • Provide L1 support for Windows, OSX and Ubuntu operating systems.
  • Research and recommend suitable IT solutions to improve the quality of office management. 
  • Provide ongoing coordination and troubleshooting with team members to ensure they have the technical tools they need to succeed
  • Comfortable on your feet, being on ladders, picking up 50lbs. 
  • Occasional off-hours, on-call work required

Qualifications:

  • At least 5 years experience as an Office or Facilities Manager 
  • Startup experience is a plus
  • Strong written and verbal communication skills to produce reports, assign tasks, accept instructions and handle vendor contracts, among other tasks
  • Organization and the ability to multitask to complete a wide variety of tasks
  • Flexibility to help them adjust to new tasks should company or office needs change
  • Strong interpersonal skills to interact positively with all employees
  • Leadership ability to manage challenges and oversee projects
  • Attention to detail to ensure tasks are completed thoroughly and correctly
