Junior Records Management Specialist
Job Description
The WORK
- In close coordination with assigned RM staff, serves as a Junior Records Management Specialist to support and assist in carrying out Records Management (RM) functions within the Department.
- Coordinates with other USCP representatives to gather analytical data, surveys and reports to compile RM information for additional evaluation and ensure alignment with NARA and USCP RM policies and processes.
- Prepares a variety of regular and periodic reports as required.
- Develops drafts of articles or other periodic information for Department-wide distribution concerning aspects of records management areas as required.
- Assists with the implementation of records management policies/procedures and the application of appropriate retention schedules. RM programs include both manual and electronic systems, records maintenance, documentation, utilization and disposition, reports, correspondence, editing, distribution formulas, and management information control.
- Analyzes records management and OIS programmatic and functional business processes and provides recommendations and solutions including policy, process or system improvements.
- Assists with conducting periodic Records Management surveys (via special inspection, surveys etc.) to evaluate the effectiveness of all aspects of the USCP Records Management Program.
- Assists with coordinating and providing training to individuals responsible for creating, accumulating, or maintaining records, including training for senior officials and records management coordinators/liaisons.
- Assists with transferring and transporting records to the appropriate locations and with coordinating records retirements to ensure compliance with transfer requirements.
- Elicits, analyzes, specifies and validates the business needs of stakeholders, customers and end users.
- Creates reports, dashboards or other data-oriented material presenting data on OIS and records management programs and functions.
- Prepares documentation and presentations on OIS and records management programs and functions.
Skills & Requirements
The REQUIREMENTS
- Requires at least 3 years of Federal records management experience including some familiarity with the Federal Records Act, NARA requirements or Federal records management principles.
- Experience finding and analyzing patterns in data and using data to assess business processes and recommend changes or improvements.
- Applies skill in mental reasoning and research to gain insight into or solve problems.
- Experience in project management.
- Knowledge of and experience with methods to analyze business needs and recommend relevant solutions.
- Attention to detail is required to review retention schedules, apply policy or required processes and assemble and compile data.
- Requires oral and written communication skills to communicate with managers, liaisons, and staff members on records management and results of OIS programmatic or functional business analysis.
- Familiarity or experience with electronic records management is desired.
