Knowledge Management Administrator - Philippines
Job Description
Location: This role is a remote opportunity based in the Philippines and is a contract position.
Schedule: The schedule for this role is Monday - Friday with working hours from 9 am to 5 pm in the US Eastern Standard time zone.

The RoleThe Knowledge Management Administrator will be responsible for the administration and governance of Kasa’s knowledge management system including integrated tools used for project management, ticket management, and collaboration. They will ensure that the system enables the efficient and accurate sharing of knowledge and is optimized to foster collaboration, improve data comprehension and increase speed in decision-making. The administrator will also play a key role in migrating knowledge management from ClickUp to Notion.
A Day in the Life- Contribute to the development of a wiki content framework and data governance model
- Develop inspection mechanisms to monitor data governance compliance and promote clean, verifiable knowledge management at Kasa
- Monitor and encourage the adoption of the Notion system across the organization
- Communicate, educate, and continuously train users on new features, functionality, and best practices
- Manage the Notion system including user accounts and permissions
- Troubleshoot and resolve issues with the Notion system
- Work with users to understand their needs and provide guidance on using the system
- Ensure that the system is up-to-date with the latest security patches and software updates
- Develop and maintain system documentation and training materials
- Key Result 1: 85% of all Kasamigos have actively adopted Notion for knowledge management by August 31, 2023.
- Initiative: Execute change management tasks including, but not limited to, data migration, communication, and training to support a successful migration from ClickUp to Notion.
- Key Result 2: By October 2023, achieve a minimum of 60% user satisfaction with knowledge management in Notion.
- Initiative: Facilitate weekly office hours for Notion.
- Initiative: Deliver 1 training session per month.
- Initiative: Develop and execute a communication strategy that highlights user success stories.
- Initiative: Regularly inspect areas of low adoption; troubleshoot and solve adoption barriers.
- Key Result 3: By October 2023, ensure 85% of wiki pages have been verified in the past 90 days and have a designated owner.
- Initiative: Using workspace analytics in Notion, do a quarterly review of orphaned pages and content not verified in the last 90 days.
- Knowledge Management Expert: A minimum of 2 years experience as a knowledge management administrator; experience with Notion specifically is a major plus
- Knowledge Management Historian: Proven experience organizing and maintaining company-wide information in an intuitive, logical framework that enables users to find the right information when they need it
- Knowledge Auditor: Demonstrated expertise in executing QA processes that promote accurate data that ensures compliance with a data governance framework
- Knowledge Management Data Analyst: Competent in using analytics to assess the impact, engagement, functionality, effectiveness, and compliance of a knowledge management strategy
- Detail-Oriented: Identifies the individual elements of a task, issue, or challenge in order to develop an appropriate conclusion or solution; is accurate and thorough with tasks in an effort to avoid mistakes or improve a system or experience
- Task Manager: Possesses strong organizational, prioritization, and documentation skills; effectively manages time to ensure on-time and accurate completion of all tasks
- Process Minded: Effectively execute established processes with precision and surfaces process deficiencies that negatively impact the user experience
- Change Agent: Supports tactical execution of change management efforts to implement new processes, tools, or technology included, but not limited to communication plans and training development.
- Unparalleled Communicator: Confidently supports inbound and outbound communications verbally and in writing, both in response to questions and to convey minor process or procedure changes. Recognizes and protects sensitive information.
