- What will you do?
- This position will consist of 80% scheduling duties and 20% administrative and supervision duties
- Will report to an Area scheduling supervisor and/or manager
- This role may include working closely with our clinical teams and Cortica’s partnership with outside vendors. These outside vendors will send over referrals requests for services such as ABA and school district contracts.
- Will assist with the supervision of designated scheduling coordinators as needed.
- Assists with training of new scheduling coordinators as needed
- Assists with the updating of training materials and SOPs Schedule sessions/procedures and provide patients’ families with necessary preparation instructions
- Work collaboratively with the clinicians, providers and management to achieve optimal scheduling plans for patients
- Validate all existing clinic therapist schedules for accuracy and adherence to comprehensive recommendations by physicians and the service providers
- Prepare, process, and manage patient documentation to department database as relevant to scheduling
- Responsible for overseeing and performing a wide variety of clerical procedures that require independent judgment, ingenuity, and initiative in the utilization of computers and other equipment
- Primarily responsible for developing and delivering scheduling templates for all clinicians and or providers, working closely with Dept. managers to achieve optimal treatment scenarios
- Know the existing lines of communication and authority, handle communications properly and is dependable and cooperative
- Triage task assignments and coordinate services with appropriate Scheduling Care Coordinator utilizing Salesforce while demonstrating an understanding of appropriate lines of communication.
- Holds regular meetings with designated schedulers as well as with staff, providers, and leadership
- conduct annual performance reviews and make merit recommendations for any direct reports
- Act as a liaison between the scheduling dept. and the clinicians to enhance maximum utility
- Work with staff and understand appropriate scheduling process
- Assist Clinical office staff with scheduling issues in a timely manner
- Provide statistical utility reports and participate in quality improvement projects by analyzing, compiling and reporting data
We’d love to hear from you if:
- Bachelor’s Degree Preferred
- You have at least 1 full year as a scheduling coordinator or you have two years of scheduling experience in an office setting.
- You possess knowledge of Microsoft Word, Excel, and Internet Applications, and knowledge of administrative and clerical procedures and systems such as word processing, managing files and records, designing forms, and other office procedures and terminology.
- You possess knowledge of principles and processes for providing customer and personal services which includes customer needs assessment, meeting quality standards for services, and evaluation of customer satisfaction.

The base pay range for this opening is $26.00 to $30.00. According to your skill level, relevant experience, education level, and location, you will receive compensation that fits appropriately within the range.
