WORK FROM HOME STATUS: Eligible

After a period of in-person training and time working onsite with your team, this role has the option to work remotely 1-2 days per week, depending on business needs. (Work from home is in WI only at this time). In general, the timeframe to start a work from home rotation tends to be 3-6 months. Note that there will be situations when the associate may choose or be asked to return onsite, which would be coordinated and scheduled in advance.

As a Leave Administrator, you'll be actively managing the Human Resources functions of administering the Family and Medical Leave Act (FMLA), Americans with Disabilities Act (ADA), Workers Compensation, work and nonwork-related restrictions, personal leaves, disability benefits and other duties and projects as assigned.

Here's what a typical day might look like. Other duties may be assigned.

  • Demonstrate the eight core principles that guide every 4imprint teammate on a daily basis: Honesty, Curiosity, Collaboration, Flexibility, Accountability, Empathy, Positive Attitude, Humility.
  • Coordinate leave administration to include Family and Medical Leave Act (FMLA), Americans with Disabilities Act (ADA), Workers Compensation, work and nonwork-related restrictions, personal leaves, and disability benefits.
  • Communicate with associates regarding their needs for leave and/or modified work schedules and/or job duty adjustments. Ensure that associates are aware of their responsibilities and of any documentation and notice required to qualify for and to take leave.
  • Responsible for the full cycle leave administration process from the associate's initial notice of the need for leave to the return to work. This includes determining leave eligibility, requesting medical certification as needed, gathering and completing all required paperwork, designating leave as FMLA-qualifying, and monitoring for intermittent and reduced schedule leave use.
  • Maintain reasonable communication with associates on leave to facilitate smooth and timely return to work; relay communication between associates and their managers during leave as appropriate.
  • Advise managers and associates on the interaction of leave laws with paid time off, workers compensation, and disability benefits.
  • Oversee the return-to-work process for associates returning from FMLA, workers compensation, or other leave(s).
  • Report work-related incidents timely to the workers compensation carrier, serve as the direct contact for work-related injuries, monitor ongoing cases to ensure timely updates are received and reported, assist with annual OSHA reporting.
  • Serve as active member of the 4imprint Safety Committee.
  • Facilitate other leave requests, which may include accommodation requests under the ADA, personal leaves, and job accommodations.
  • Draft and/or recommend revisions to company leave policies to ensure compliance with federal, state, and local laws and regulations.
  • Maintain complete and accurate records of leave and accommodation requests in accordance with legal requirements.
  • Coordinate birth/adoption paperwork for benefits purposes.
  • Preserve confidentiality of associate medical documentation and files.
  • Maintain knowledge of all applicable leave and accommodation laws including the FMLA, ADA, and state and local laws.
  • Participate in training classes and actively seek professional development.

  • Fluent with computers and Microsoft Outlook®.

Required education/experience:

  • Bachelor's degree in human resources or related field.
  • Minimum of 2 years' experience in leave administration/Human Resources.
  • Proficiency in data entry, MS Word, and Excel.
  • Knowledge of leave requirements and other legal protection afforded by the FMLA, ADA, Workers Compensation, and other applicable laws.
  • Knowledge of state and federal employment laws and practices.
