Description

The Leave of Absence Coordinator will be responsible for the daily administration, monitoring, and follow up of multiple leaves across the Organization in accordance with State and Federal Laws. The Leave of Absence Coordinator will act as the primary point of contact for all Leave related questions, processes and procedures for the Organization.

Additionally, this position serves as bilingual support to the the Benefits Department by assisting with benefits-related questions and/or issues.

ESSENTIAL DUTIES AND RESPONSIBILITIES

Major responsibilities of the position are listed below. To perform the job successfully, the individual must be able to execute each essential duty satisfactorily. Other duties, assignments and specific projects may be assigned at the discretion of executive management.

  • Create and prepare leaves of absence notifications and templates as required by state and federal law.
  • Daily monitoring and follow up of multiple leaves across the Organization.
  • Ensure all leaves are in accordance with state and federal laws, including detailed documentation and required timelines.
  • Prepare ADAAA letters and follow up accordingly on required medical authorization and health care provider responses.
  • Track and manage daily reports to ensure timely processing of requests and compliance with FMLA, ADAAA and other LOA related regulations.
  • Central contact for all managers, employees, and medical offices regarding leaves.
  • Communicate 1800 Flowers/Harry David policies and state and federal laws to employees and leaders, balancing accountability and compassion.
  • Responsible for tracking and filing all leave-related paperwork.
  • Support other bilingual Benefit department needs such as orientations and newsletters.
  • Other job duties as assigned.

Requirements

  • High school diploma or GED
  • Written and oral fluency in English/ Spanish is required
  • 1-2 years human resources support or admin support experience
  • Exceptional organization and analytical skills
  • Ability to perform multiple tasks in a fast-paced environment and consistently meet deadlines with accurate and detailed results.
  • Excellent written and oral communication skills
  • Exemplary conflict resolution, problem solving and decision-making skills
  • High degree of proficiency in Microsoft Office (including Word, PowerPoint, and Excel) required.
  • Maintain high level of confidentiality at all times
  • Knowledge of State and Federal employment/leave laws preferred
