SpotOn is looking for a Leave of Absence Manager to serve as the subject matter expert providing leadership, oversight and direction of leaves. Leave programs include Family and Medical Leave Act (FMLA), short-term or long-term disability plans, Workers’ Compensation, Americans with Disabilities Act (ADA) and state and municipal leave laws.
We are seeking someone who is highly organized, responsive and committed to meeting deliverable deadlines with exceptional attention to detail and a high level of accuracy. The ideal candidate is excited to learn new systems, improve upon current practices, support ongoing communication and education initiatives and interact directly with employees at all levels.
You will:
- Complete the centralization of US leave of absence implementing standard operating procedures
- Effectively execute necessary changes to leave and benefit policies and procedures ensuring the company is compliant with federal, state, and local laws and regulations
- Subject matter expert ensuring compliance with FML, STD, LTD, Work Comp, ADA, SDI and company policies
- Resolve complex issues using in-depth knowledge of leave and benefit summary plan descriptions and standard operating procedures.
- Maintains complete and accurate records of leave and accommodation requests in accordance with specified legal requirements and documentation of best practices. Preserves confidentiality of employee medical documentation and files.
- Responds efficiently and accurately to inquiries related to all company, state/municipal sponsored disability/paid leave claims to ensure related benefits are processed timely.
- Communicates with employees regarding their needs for leave and/or modified work schedules. Ensures that employees are aware of their responsibilities and of any documentation and notice required to qualify for and to take leave.
- Manages the FMLA leave administration process from the employee’s initial notice of the need for leave to the return to work. This includes gathering and completing all required paperwork, determining leave eligibility, designating leave as FMLA-qualifying, requesting medical certification as needed, and accounting for intermittent and reduced schedule leave use.
- Acts as liaison between employees, HRBPs, managers and third-party leave administrator during leave administration process from the employee’s initial notice of the need for leave to the return to work. This includes monitoring the status of all leaves and ADA accommodation requests.
- Maintains reasonable communication with employees, manager, and HRBPs on leave to facilitate smooth and timely return to work from extended FMLA, workers compensation, or other leave(s).
- Oversees the return-to-work process for employees returning from extended FMLA, workers’ compensation, or other leave(s).
- Calculates leave pay for applicable federal, state, municipal, paid time off, workers’ compensation, and short-term and long-term disability benefits. Advises managers, HRBPs, and employees on applicable leave pay.
- Facilitates ADA interactive process discussions with employees. Reviews and analyzes reasonable accommodation and provides recommendations. Consults with management on accommodation decisions, partnering with HRBPs and legal as needed.
- Administers other company time-off programs as assigned in accordance with internal policy and applicable laws.
- Updates payroll on all leave related adjustments to ensure employees are properly paid based on their specific leave situation.
- Ensures accurate reconciliation and repayment of benefit premiums for employees on leave via invoicing and entering adjustments in the HRIS system. Monitors an employee’s benefits eligibility for the duration of their leave.
- Oversee leave and benefit vendor relationships
- Performs other related duties as assigned
Benefit Compliance:
- Maintain knowledge of trends and best practices related to benefit regulatory changes
- Identify, analyze, and communicate new employment-related benefit legal requirements and updates to existing requirements
- Manage the creation of and updates to company benefit and time off policies/programs in accordance with applicable law and regulations, including ADA, FMLA, benefit regulatory notices, and comparable regulations
- Identify areas of opportunity for compliance education and training for managers and business leaders and partner with COEs to develop and deliver training, as needed
- Collaborate across functions to support various HR-related projects and initiatives
- Performs other related duties as assigned
Qualifications:

- Extensive knowledge of the leave requirements and other legal protections afforded by the FMLA, ADA, and other applicable laws.
- Working knowledge of the Workers' Compensation Act, city regulations and other applicable state/federal statutes and regulations preferred.
- Operates with a high level of professionalism and integrity, including dealing with confidential information
- Demonstrated ability to implementation new processes, initiatives and programs
- Requires organizational skills and the ability to handle multiple priorities
- Exceptional interpersonal skills with proven ability to interact effectively with all levels of the organization
- Exceptional written and verbal communication skills matched by strong presentation skills
- Have a strong collaborative approach enabling teams to be successful
- Proficient in Microsoft Office and/or Google Suite
- Bachelor’s degree in Human Resources or related field required.
- Five or more (5+) years’ experience in leave and benefits administration
- PHR/SHRM-CP or SPHR/SHRM-SCP preferred.
- Completion of Certified Leave Management Specialist (CLMS) or specialized certification or training on FMLA/leave administration a plus.

Compensation:
- Our base pay range starts at $98,000 -$130,000 for this role
- Please note the salary range listed is just one component of a competitive compensation package which includes a company stock plan
