Job Description

THE POSITION:

The Leave of Absence Specialist’s primary responsibility will be the administration of EVERSANA’s Leave of Absence, Disability Program, Company Leaves and ADA Claims. This position serves as the point of contact for employees, HR Representatives, Managers and internal Legal for coordination, documentation and support in decision making. This position will participate in the development, implementation and monitoring of policies and procedures.

ESSENTIAL DUTIES AND RESPONSIBILITIES:
Our employees are tasked with delivering excellent business results through the efforts of their teams. These results are achieved by:

Administration

  • Daily administration of Leave programs including Short Term Disability, FMLA(both continuous and intermittent), State Leaves and EVERSANA company leaves - ensuring compliance with all federal and state laws.
  • Provide guidance and support to employees navigating the leave process.
  • Handle a diverse array of LOA scenarios from simple to complex.
  • Maintain LOA master tracker and conduct regular audits of accuracy.
  • Monitor the Benefits email box to ensure timely responses to inquiries and requests.
  • Proactively partner with third party administrator to ensure open cases are managed timely and accurately.
  • TPA vendor management, from improving the day-to-day operational process to resolving challenges related to the vendor process and procedure and complex claim issues.
  • Biweekly payroll report to ensure employees on LOA are paid appropriately.
  • Process monthly invoice for Leave vendor.
  • Facilitate ADA interactive process with employee and manager.
  • Provide Long Term Disability information as requested.
  • Respond to LOA inquiries in the Benefit Help Desk.

Communication/Education

  • Collaborate with HR team members and payroll to ensure smooth leave processing and payment.
  • Educate and train HR team on leave policies, procedures and compliance requirements.

Other

  • Cross train with Total Rewards team in Health and Welfare benefits administration.
  • Ad Hoc reporting and benefits analysis as needed

  • Travel – None
  • Hours – 40 hours per week, M-F; this job will be required to work additional hours as projects and/or needs arise for the business.

Qualifications

MINIMUM KNOWLEDGE, SKILLS AND ABILITIES:

The requirements listed below are representative of the experience, education, knowledge, skill and/or abilities required.

  • Bachelor’s degree in Business Administration, Human Resources, or closely related field required
  • Minimum of 5 years of US benefits experience in the Leave of Absence space
  • Working knowledge and understanding of relevant compliance regulations and laws
  • Excellent written and verbal communication skills to employees at all levels of the organization
  • Intermediate to advanced skill level in Microsoft Word, PowerPoint and Excel
  • Demonstrated ability to work both independently and as part of an HR and business team with professionals at all levels
  • Demonstrate ability to maintain high level of confidentiality and professionalism at all times and under all circumstances
  • Demonstrate initiative and self-motivation in all aspects of work.
  • Strong research, critical thinking, analytical, problems solving and detail skills.
  • Ability to be flexible with work schedule for audits and/or special projects.

PREFERRED QUALIFICATIONS:

  • Knowledge of Lincoln Financial leave vendor
  • Certified Employee Benefits Specialist (CEBS) designation
  • PHR or SPHR

The physical and mental requirements along with the work environment characteristics described here are representative of those an individual encounters while performing the essential functions of this position.

Office: While performing the essential functions of this job the employee is frequently required to reach, grasp, stand and/or sit for long periods of time (up to 90% of the shift), walk, talk and hear; occasionally required to lift and/or move up to 25 pounds. The noise level in the work environment is usually moderately quiet, with frequent interruptions and multiple demands.
