Job Overview:

The Leave Administrator is responsible for administering the organization's leave of absence (LOA) and accommodations requests in partnership with internal stakeholders and the third-party leave management vendor. The position ensures compliance with internal and external policies and regulations (e.g., FMLA, ADA, work-related injury/illness leaves). Manages the interactive process for job accommodation requests.

Key Responsibilities/Accountabilities:

  • Partners with the third-party leave management vendor to process all leaves of absence including FMLA, military, ADA, and work-related injury leaves.
  • Manages the third-party leave management vendor relationship; holds vendor accountable for services and service quality.
  • Proactively analyzes claims and leave-related data; shares business insights and trends with HR leaders; makes recommendations to mitigate risks and improve the employee experience.
  • Maintains compliance with leave policies and leave regulations.
  • Informs and advises staff on leave policies, regulations, and requirements; educates employees and managers on their responsibilities including documentation and notice requirements to qualify for and/or to take leave, and/or obtain an accommodation.
  • Supports staff and managers regarding the interaction of leave laws with paid time off, workers compensation, and disability benefits.
  • Assists managers in compliance with Americans with Disabilities Act requirements for engaging in the interactive process and considering workplace accommodations. Works with managers and HRBPs in the development of alternate work arrangements and manages employee's return to service or separation.
  • Coordinates with HRBPs to keep them updated regarding employee leave requests, leave extension requests, return to work releases and/or restrictions, as needed.
  • Partners with Benefits in providing notice to employees who transition to COBRA and other benefits transitions.
  • Updates the current leave of absence processes and tools by proactively identifying and recommending opportunities for optimization. Documents Leave processes and standard operating procedures.
  • Manages in-house leave transactions, including recording hours on timecards each pay period in accordance with employee selection.
  • Communicates in writing with employees on leave expectations and responsibilities. Answers employee questions about policies and procedures.
  • Stays up to date on all applicable leave and accommodation laws including the FMLA, ADA, and state and local laws; responsible for maintaining leave policies to be compliant with regulations.
  • Other duties and special projects as assigned.

Basic Qualifications:

  • Bachelor's degree in human resources or related field preferred, or 3+ years of recent and relevant experience in lieu of degree.
  • 3+ years of experience in leave administration, employee relations, and/or benefits administration.
  • Extensive knowledge of leave requirements and other legal protections covered by FMLA, CFRA, ADA, and other applicable laws and best practices.
  • Experience partnering with a third-party leave management vendor preferred.
  • Experience advising and supporting senior leaders.
  • Must handle confidential information with great discretion. Maintains patient privacy, including protecting the confidentiality, safeguarding the integrity and availability, and limiting the use and disclosure of patient Protected Health Information (PHI) to authorized individuals and entities.
  • Excellent verbal and written communication skills.
  • Proficiency in SharePoint and using Microsoft Office required.
  • Strong organizational, time-management and prioritization skills.
  • Strong critical thinking, problem-solving and decision-making skills.
  • Certified Leave Management Specialist (CLMS) designation a plus.
