Legal Administrative Assistant

Summary
Interior Logic Group (ILG) is the nation’s leading provider of interior design, design center management and interior finishing installation services for single-family, multi-family and commercial builders. We are looking to hire a Legal Administrative Assistant to support the Legal Contract Processing Team with general administrative duties to include but not limited to assisting with contract administration, information gathering, data entry, analysis of information, communication with various parties and other duties assigned as needed. The ideal candidate should be extremely organized, with great attention to detail and communication skills. The ideal candidate should also have experience assisting executive teams, construction industry knowledge or equivalent/relevant experience.
Essential Functions
- Contract management from initial intake through execution.
- Send documents and agreements for final signature via e-signature platform.
- Liase with builder representatives, landlords, suppliers, vendors, and consultants as well as internal sales, operations, legal, and field personnel to ensure contract processing and execution.
- Process and save executed files to contract management software.
- File construction pre-liens as required.
- Perform administrative tasks and other duties assigned as needed.
- Monitor Legal Contract email inbox as per ILG’s Email Protocol SOP

QUALIFICATION & EXPERIENCE
- Minimum of 3 years’ experience in a contract administration or legal secretary position or equivalent/relevant experience.
- Previous experience using a contract management software, e.g., Lexion, Ironclad, ContractWorks, etc. and e-signature platforms, e.g., DocuSign, Adobe Sign, etc. (preferred but not required).
- Proficient in Microsoft Word, Excel and Outlook.
- Comfortable with the MS Windows environment, folder and file structure and the concept of a computer network with folders and files stored on other computers on a network.
- Associate or Bachelor’s degree in business administration or paralegal or legal secretary certification in a relevant field or other relevant experience preferred.
- Prior knowledge or experience in the construction industry is preferred but not required.

Possess a strong understanding of contract law and legal terminology, excellent communication and negotiation skills, and be detail-oriented and analytical.

Relevant certifications such as Certified Commercial Contracts Manager (CCCM) or Certified Federal Contracts Manager (CFCM) may be preferred.

Pay range: $25 - $30 per hour
