LOCATION:    660 Fifth Avenue, New York, NY
HOURS:    8:00am – 6:00pm, flexibility required; hybrid in-office schedule (4 days)

JOB FUNCTION:
The Legal and Compliance Assistant will support 3 – 5 attorneys. The individual will be part of a fourteen-person Legal and Compliance team and work collaboratively with other assistants and team members. The Legal and Compliance team is a dynamic and growing group responsible for legal and regulatory matters across the firm. The role will involve, on rare occasion, travel to the firm’s Stamford office.
Responsibilities may include, but are not limited to:
•    Scheduling and preparing attorneys for meetings, setting up conference calls, covering phone lines, creating expense reports and managing correspondence.
•    Facilitating the vendor contract and non-disclosure agreement review and approval process.
•    Document and data management, with a focus on database organization and the ability to manage and retrieve data effectively.
•    Tracking issues and projects over time to bring developments to the attorneys’ attention and flag needed follow-up.
•    Serving as a gatekeeper for the team; discerning which information and callers reach team members.
•    Organizing team building events, including with other teams in the firm.
•    On occasion, organize and schedule domestic and international travel and prepare related itineraries.

Examples of past work handled by Legal and Compliance Assistants include:
•    Managing the document signature process.
•    Organizing and logging vendor contracts and non-disclosure agreements.
•    Compiling and disseminating weekly project information.
•    Legal bill tracking, arranging for follow-ups with law firms and working with accounting and the firm’s e-billing system.
•    Helping the department prepare for SEC examination.
•    Creating PowerPoint presentations for training sessions and Board of Directors meetings, compliance trainings, meeting materials, etc.

QUALIFICATIONS:

The ideal candidate will have:
•    An undergraduate degree with a record of academic success.
•    A minimum of 5 years of relevant work experience.
•    Strong knowledge of Microsoft Word, Excel, Outlook and PowerPoint.

•    Efficient communicator: clear, simple communication is valued in a robust and busy work environment.
•    Results-orientation: a strong attention to detail and an ability to manage complex processes with tight timelines is imperative to the role.
•    Sound judgment: demonstrated discretion with confidential information is required.
•    Proactivity: an ability to recognize, anticipate and address needs of the individuals being supported as well as the entire team with a strong sense of urgency.

The base salary range for this position in New York City is $90,000 to $135,000. In addition to base salary, Viking employees may be eligible for other forms of compensation and benefits, such as a discretionary bonus, 100% coverage of medical and dental premiums, and paid lunches. Actual compensation for successful candidates will be individually determined based on multiple factors including, but not limited to, a candidate’s skill set, experience, education, and other qualifications.
