Position Summary:Â
Â
The Legal Executive Assistant serves as the key point of contact for both internal and external clients; serves as a liaison between the attorneys and clients. The ideal candidate will have the ability to maintain high levels of confidentiality, be results driven, have the ability to exercise good judgment and maintain a multitude of assignments with minimal supervision at a high level of professionalism. The accomplished Legal Executive Assistant will have a strong foundation in executive support. Candidates should also be flexible to work occasional overtime as needed.Â

Duties & Responsibilities:Â
- Manages and maintains busy calendar, email and telephone; schedules appointmentsÂ
- Prepares and organizes complex travel arrangementsÂ
- Maintains client files, updates contact listsÂ
- Document management and production, drafts letters and correspondence (including word processing, transcribing and proof reading)Â
- Conserves attorneys time by reading, researching and routing correspondenceÂ
- Monitors, screens, and responds to and distributes incoming communicationÂ
- Process reimbursement expenses, heavy expenditure reporting and credit card reconciliationÂ
- Manages client billing and collections, time entryÂ
- Heavy client contact (including with opposing counsel and courts) for coordination and to assist with the management of client relationshipsÂ
- Coordinates client engagement and conflicts processÂ
- Assists in business development initiatives and filingsÂ

- Extremely organized, detail-oriented, able to multi-task and prioritize their workload and work well under pressureÂ
- The successful candidate should be a self-starter, forward-thinking, action-oriented and focusedÂ
- Excellent interpersonal skills and the ability to collaborate well in a team as well as work independentlyÂ
- Strong attention to detail and ability to manage time effectivelyÂ
- Requires the ability to work under pressure to meet strict deadlinesÂ
- Excellent verbal and written communication skillsÂ
- Learn quickly to adapt to new situationsÂ
- The ability to respond outside of normal business hoursÂ
Qualifications & Prior Experience:Â
- This position requires a minimum of 3-5 years' experience as an administrative or executive assistant, in a professional administrative position in large or medium size organizationÂ
- Bachelor's degree or equivalent experience preferredÂ
- Proficiency with Windows-based software and Microsoft Office Suite applications including Word, PowerPoint, Excel and Outlook required, as well as document management and other office technologiesÂ
