Job Description

We are seeking a driven, self-motivated Legal & Finance Coordinator to ensure the delivery of first-class corporate administration service for a leading direct to consumer business. The successful candidate will work in partnership with the Legal, Finance and People Operations teams and Resident’s business units to anticipate their needs and to provide corporate administrative support. In this newly added role, the successful candidate will be the point of contract when handling all physical corporate mail and will manage filing all physical corporate documents, in keeping with federal compliance laws.

To be considered for this position, you must be able and willing to work on-site at our Jeffersonville, IN location. 

What You’ll Be Doing;

  • Open and sort daily corporate mail and promptly route to the appropriate internal stakeholders 
  • Complete and manage administrative corporate filings on behalf of Finance, Legal and People Operations teams (e.g. bank documents and credit applications, ordering certificates of insurance, regulatory filing, corporate registrations, state and local licenses)
  • Act as receiver of Service of Process for the company
  • Organize, share and maintain both physical and digital files with relevant Finance, Legal and People Ops personnel
  • Assist with facilitating digital (and where necessary physical) signatures on documents/tax returns 
  • Assist with cross-departmental projects in furtherance of corporate initiatives that require administrative and organizational support
  • Assist with travel and meeting planning related to Company group meetings 
  • Attend virtual corporate meetings and be able to take detailed minutes 
  • Support with scheduling large cross-functional internal both in person and virtual meetings as well as meetings with external parties like auditors, vendors
  • Act as the point of contact for internal and external clients

Skills & Qualifications:

  • A minimum of 5 year's experience working as an Administrative Assistant or in a similar role. 
  • Meticulous attention to detail and ability to perform tasks with accuracy and efficiency in mind
  • Good judgment, organizational and time-management skills
  • Independent, self-starter and team player with excellent interpersonal and communication skills to work cross-departmentally to complete tasks and understand business
  • High levels of integrity, discretion and ability to handle confidential information
  • Working knowledge of major office software including Google Suite services and calendar functions, MS Word, Adobe, Zoom, PowerPoint and Excel
  • Familiarity with online cloud-based office and corporate management systems and productivity tools like Slack, DocuSign, ADP, Expensify and TripActions 
  • Ideal candidate would also be familiar with other cloud-based Administrative tools like Bill.com (billing tools), Carta (equity trackers) and BambooHR (human resources platforms)
