The Position
The Legal Operations Coordinator supports operations for Heico's Legal Department. This position will manage Heico's outside counsel and vendor billing process and administer the department's billing software system. In addition, the Legal Operations Coordinator will support legal team processes and initiatives relating to knowledge management, professional development, contract management and records retention. This position will report to the Vice President and General Counsel for the ITG Platform and will be located at our corporate office at 27501 Bella Vista Parkway, Warrenville, IL 60555.
Job Description
Primary Responsibilities
- Maintain department's Legal Tracker system (matter management and outside counsel billing software system).
- Manage the outside counsel and vendor billing process. Communicate with Heico operating company accounting departments to maintain AP process flow.
- Support the Legal Operations Analyst in legal spend reporting.
- Support knowledge management initiatives for the legal team, including training materials and templates, professional development opportunities, and reference material subscriptions.
- Manage the legal intranet site.
- Coordinate legal team meetings and other department activities.
- Manage the onboarding process for new legal team members, interns and contract lawyers.
- Facilitate process improvement and technology initiatives for the legal team, including contract and records management solutions, in collaboration with IT, business and legal teams.
- Assist with other legal operations initiatives and projects as needed.
- Serve as a resource for the legal team on the Microsoft suite of applications.
- Develop productive working relationships with all levels of the organization.
- Work collaboratively with team members and business partners.
Job Requirements
Education: Bachelor's Degree
Skills & Relevant Work Experience:
- 3+ years professional experience in a corporate setting.
- Excellent verbal and written communication skills.
- Strong project management and facilitative skills.
- Detailed-oriented with ability to prioritize and balance multiple tasks.
- Team player who is willing to be flexible and adaptive.
- Skilled in the Microsoft suite of applications, including Excel and PowerPoint.
- Enthusiasm and aptitude for technology solutions.
- Familiarity with an in-house legal department or law firm is a plus.
- Knowledge of Legal Tracker or other matter management and billing software is a plus.
