Legal Operations Specialist - The Toro Company

The Toro Company legal leadership team is looking for an individual to help create processes and practices to improve the day-to-day efficiency and effectiveness of the legal team, control costs, and track and management payment and relationships with outside law firm, consultant, and software vendors utilized by the TTC legal department. This is a generalist role that involves supporting the TTC legal team across various legal team objectives and activities. This position requires an individual who is adaptable and proactive in identifying areas of need and generating action plans utilizing excellent communication and collaboration skills.

What Will You Do?

In order to grow and build a successful career with The Toro Company, you will be responsible for:

  • Assist TTC General Counsel and legal leadership team to review and analyze data to set business strategy and operational processes for the legal department.
  • Track specific quarterly and annual goals and initiatives for the legal department and report out to General Counsel and legal leadership team on a periodic basis.
  • Lead legal department use of e-billing tool, Thomson Reuters Legal Tracker.
  • Partner with General Counsel and cost center managers to support department-wide budgeting and financial management activities, including managing purchase orders, accruals and forecasting and tracking legal spend against budget.
  • Develop and implement internal process guidelines, templates, and workflows for e-billing, budget tracking, and utilization of outside counsel, consultants, and software tools.
  • Work closely with general counsel and legal leadership team to select outside law firms and negotiate alternative fee arrangements, billing guidelines, and the overall partnership between vendors and the TTC legal team.
  • Work with General Counsel and legal team on budget planning for travel, attorney licensing fees, and continuing legal education fees.
  • Manage legal department memberships and subscriptions, such as Westlaw and Association of Corporate Counsels.
  • Schedule meetings and assure details for conference rooms, online meeting instructions, catering, and audio-visual needs.
  • Assist with on-boarding of new employees and training of legal team on new processes and procedures.
  • Populate, organize, and maintain various repositories and locations of departmental files and resources.
  • Support department with continuous improvement of processes, practices and systems for effective document and knowledge management.
  • Open, sort and forward or distribute mail coming into Legal to appropriate team members or departments.
  • Assist with preparation of presentations and reports.

What Do You Need?

To be considered for this role, an individual should meet the following minimal requirements:

  • BA or equivalent work experience.
  • 2+ years of experience in the contract field, contracts administration, or legal operations.
  • Experience with legal e-billing and legal terminology in in-house setting.
  • Proficient in business applications such as Microsoft Teams, Word, and Excel, document management systems, and legal enterprise software.
  • Tech-savvy and well-versed in legal enterprise software, tools, and applications, proficient in legal spend and matter management tools such as Thomson Reuters Legal Tracker or similar legal e-billing tool.
  • Ability to work with multiple data sets in order to make informed recommendations.
  • Excellent analytical, problem-solving, and communication skills.
  • Ability to maintain a high level of confidentiality and discretion.
  • Detail orientation and ability to organize and manage multiple projects.
  • Positive and professional attitude and strong customer service skills.

It is not common to be hired at or near the top of the range; compensation decisions are dependent on the facts and circumstances of each case.
