The Litigation Coordinator’s II primarily responsibility is assisting the Director of Legal Services with the administration of MEMIC’s litigation management and cost containment program. This person is responsible for maintaining MEMIC’s electronic legal billing system as well as logging and tracking all litigation referrals. This person is responsible for evaluating the quality of our legal panel and reviewing our law firms’ billing practices to ensure that they are in compliance with MEMIC’s billing requirements.   This person is also responsible for compiling the various monthly, quarterly and yearly reports issued by the litigation management unit.  This position will be required to coordinate annual training for litigation and legal expense management for Claims staff. In certain jurisdictions, the Litigation Coordinator will select the appropriate law firm to assign legal referrals.

Principal Duties and Responsibilities:

  • Process litigation referrals from all offices and sets up each referral in MEMIC’s electronic legal billing system and in the internal database. 
  • Review legal bills for compliance with MEMIC’s Billing Guidelines.
  • Receive and process mediation notices on behalf of the adjuster for Maine claims. Track chargeback figures and mediation results.
  • Receive and process petitions for Maine claims and sends out appropriate notices to Compliance and Claim Staff.
  • Receive and process administrative decisions from the Maine Workers’ Compensation Board.  Track Maine chargeback figures and litigation results.
  • Assist in the recruitment of new law firms for legal panel.
  • Review individual legal bills for discrepancies or trends. 
  • Act as a primary liaison when billing disputes arise.
  • Coordinate and participate in annual training on litigation expense management for Claims staff.
  • Assist with payment of outstanding legal bills up to a predetermined authority level, when notified by law firms.
  • Represent Legal Services at various internal Claims meeting regarding legal expenses and litigation referral patterns.
  • Provide back up to legal support staff and in-house defense counsel, as necessary.

Minimum Knowledge, Skills, and Abilities:

  • Associates Degree preferred with four year’ experience working in a legal environment or an equivalent combination of education and work experience preferred.
  • Strong attention to detail with the ability to type with speed and accuracy required.
  • Proficient in Microsoft Word, Excel, Access and PowerPoint a plus.
  • Must have excellent grammatical as well as written and verbal communication skills
