Location Services Coord III Summary:
This position isresponsible for performing facilities and office operations duties involvingcritical thinking in accordance with standard procedures by ensuring theemployees at one or more locations are working in a safe, presentable, andwell-maintained office environment. This includes duties such as facilitatingmoves, repairs, replacements, setups/cleanups and frequent walk-thru.
This position mayalso be responsible for performing and reviewing duties such as photocopying,compiling records, filing, tabulating, posting information, mail distribution,maintaining records, preparing forms and verifying information. Will be requiredto direct and follow up with building management and vendors either when theLocation Services Manager or Supervisor is unavailable or as directed.
May also beresponsible for coordinating the Location Services or other Enterprise SupportServices staff in the day-to-day operations at a location(s).
Essential Duties
- Manage and resolvedaily facility requests and issues addressed by walk-thru. Resolution achievedby oneself or in tandem with staff and vendors. Analyze and determine selectionof service providers from internal resources, building maintenance and outsidevendors and contractors based on cost and scope of work performed. Review workperformed to ensure meeting and sustaining of standards. Follow up withaffected employees and escalate urgent or high importance matters to theLocation Services Manager or Supervisor. (30%)
- Coordinate andparticipate in office operations and facilities projects, including real estateprojects as required by region. Responsibilities include but are not limited toassisting team leader in preparing and maintaining projects plans, including documentation,budgets, implementation, training, communication for projects derived line ofbusiness, office location, region and/or firm initiatives. Recommend betterpractices and cost-efficient improvements to the office in our continuingeffort to provide exemplary customer service. (25%)
- Communicate with theBuilding Management Office regarding maintenance issues, forms and documentsrequired from and for the landlord, special requests for our space, informationon building security including leading the emergency evacuation team and updatingthe floor warden information. Approve work orders and billing and forward toLocation Services Manager or Supervisor for further approval. (10%)
- Provide routineleadership, direction and support, to ensure completion of daily duties in atimely and accurate manner and escalate issues, when necessary. Determinetrends from frequent requests and advise Location Services Manager orSupervisor of necessary projects that would be cost beneficial to the firm.(10%)
- Manage services andvendors necessary to maintain the office; including but not limited toequipment and appliance maintenance, flooring and furniture maintenance, HVAC,security systems, AED units. Review and process invoices for these services.Follow up with vendors, staff and clients to ensure they are meeting timelines.(10%)
- Serves as a subjectmatter expert and resource for staff who have questions regarding officepolicies and procedures (5%)
- Train new employeeson local office policies and use of equipment and systems. Responsible to crosstrain in Location Services functions to ensure adequate coverage and assistanceduring peak times is available. (5%)

EDUCATION
- High schooldiploma
- Courses inbuilding systems (preferred)
TECHNICAL/SOFTSKILLS (Required)
- Ability tocommunicate both verbally and in writing with diverse audiences
- IntermediateMicrosoft Office skills
- Strong grammar andproofreading knowledge and experience
- Ability to preparecharts, graphics and tables, etc.
- Ability to managemultiple tasks and projects
- Basic toIntermediate knowledge of lighting, HVAC and plumbing
SPECIAL REQUIREMENTSSPECIFIC TO JOB
- Able to lift up to40 lbs.
- Able to stand onyour feet for an extended period of time
- Must be punctualand able to adapt to changing schedules
- Able to conveyinstructions clearly and concisely and be responsive to staff or vendor whenthey inquire
- Effectiveorganization and time management skills
- Maintainprofessionalism in demeanor, conversation and dress
- Strong attentionto detail
EXPERIENCE
- 5-7 years'experience in a related field or area
- Demonstratedexperience managing multiple projects
LEADERSHIP SKILLS(Required)
- Ability to respondpositively to changing circumstances, seek and implement change to drivebusiness improvement and serve as a model of the change
- Workcollaboratively with other Location Services Leads to ensure coverage acrossthe enterprise particularly during peak times
- Workcollaboratively with the ESS leadership to provide support during the businessplanning processes
