The Lockbox Operations Specialist II is responsible for effectively processing the Lockbox work, mainly mail sent to the bank via P.O. Box. This includes but is not limited to logging in the work, preparing the work for scanning, scanning the work, data-entry within the Lockbox 3rd party software, sending communications to the clients regarding their work, resolving client concerns via the phone or email, filing the work, performing quality control processes which include reviewing empty envelopes over a light table, purging filed work as appropriate, tracking all fee related activities, providing internal phone support to Branch Sales staff, Treasury Management Officers, and Sales Support staff as needed, and maintaining a neat and orderly work area. Support all department owned applications and equipment.
Essential Functions/Responsibilities
- Focus and attention to detail in a busy environment.
- Performs basic to complex tasks to support Lockbox Operations. Medium to high skill set.
- Handles escalated issues and resolution needs.
- Ability to multitask.
- Makes process improvement recommendations to improve the workflow, specific customer activity, working conditions, or any area within the department.
- Research Lockbox related issues and provides business clients or bank personnel with appropriate and timely resolution.
- Admin Duties (i.e. reporting, escalation of issues)
- Responsible for composing and providing documentation, forms, and manuals to business clients and sales staff as needed.
- Provides telephone and email support for Lockbox related activities to Sales Staff, Internal Department Staff and Branch Employees.
- Participates in problem solving to help address unique customer situations.
- Prepares a variety of reports; maintains logs, lists, and records; and maintains customer contact data and information.
- May be asked to participate in special projects (i.e. conversion, release, disaster recovery, system upgrades)
- Participates in acquisitions conversions or de-conversions as assigned.

Minimum Knowledge, Skills, and Abilities Needed to Perform Essential Functions of the Job

- High School Diploma or equivalent
- Minimum of 3 years Banking Operations/Banking Center Teller experience
- Intermediate knowledge of Microsoft Office applications
- Customer Service experience
Preferred Knowledge and Skills
List knowledge & skills beneficial to have but not necessary to enter the job.
- Intermediate knowledge of appropriate banking software (i.e. Jack Henry)
- Professional certifications, as applicable
- Lockbox knowledge

Physical Requirements

- While performing the duties of this job, the employee is regularly required to stand, walk, and reach with hands and arms.
- Occasionally lifts and carries up to 20 lbs.
- Occasionally moving about to accomplish tasks or moving from one worksite to another.
- Constantly operates a scanning machine.
