The Mailroom Coordinator is responsible for receiving, sorting, and processing all mail as well as overseeing all other daily mailroom functions. The incumbent will implement processes and systems to create an efficient and effective mailroom for the company.

Responsibilities:

  • Sorts all incoming mail by department using relevant information provided on the envelope and delivers/scans to the correct department contact.
  • Manages the daily operation of the Mailroom ensuring an efficient workflow and resolving any issues that may arise during operating hours.
  • Oversees all daily incoming mail (FedEx, USPS, UPS, & CDW).
  • Processes all outgoing USPS mail, both regular and certified, as well as all outgoing FedEx shipments as needed.
  • Receives Toners Plus supply orders, checks packing list against shipped items, and stocks supplies.
  • Resolves any issues related to the mailroom workflow.
  • Maintains mailroom vendor relationships, which include, FedEx, UPS, Recall, Shred-it, Toners Plus, and Staples.
  • Organizes mailroom supply stock in a user-friendly logical manner. Ensures that all supplies remain stocked and on hand, including shipping (FedEx, UPS, and Pitney Bowes) supplies.
  • Submits corporate headquarter supply order to Receptionist.
  • Facilitates departments with their document storage and retention needs. Coordinates with Iron Mountain on the following: new user implementation, training, pickup, delivery, and supplies.
  • Stocks breakrooms with needed items (coffee, coffee supplies, paper towels, forks, etc.)

Requirements:

  • High School Diploma or equivalent (G.E.D.) required.
  • Strong understanding of mailroom workflows, including the ability to recommend and implement processes for improved efficiency, service, profitability, and growth.
  • Intermediate PC skills.
  • Understanding of the USPS, UPS, and FedEx processes.
  • Entrepreneurial spirit and willingness to assist others.
  • Solid verbal and written communication skills.
  • Excellent customer service, quality, and results orientation.
  • Ability to interact effectively at all levels.
  • Ability to be an effective member of project teams.
  • Ability to multi-task.
  • Valid Driver's license required. May be required to use personal vehicle on company business.
