Job Summary
This position is fully responsible for the talent acquisition of qualified and competent Shipboard Hospitality Crew Members, liaising with manning agencies as required, conducting crew interviews, and entering new hire crew information in the shipboard HR management system before handing over new hires to the Scheduling Managers. In addition, the position assists the Rotation Specialists with rotation planning, movements, and confirmation of all seagoing hotel personnel, if and when required. The position closely collaborates with the corporate hotel management team as well as with the hotel shipboard management teams to understand the requirements of the hospitality talent required for each vessel.
Essential Job Duties
- Confers with the corporate hotel operations team and the shipboard hotel management to establish crew requirement projections.
- Meets regularly with Scheduling Managers to determine crewing needs for all vessels.
- Maintains open communication with the hotel operations team to review the resumes and interview feedback of viable candidates.
- Collaborates with the marketing communications department to utilize all social media platforms that can be utilized to attract competent talent.
- Ensures all social media platforms are updated and kept fresh with job postings as well as news snippets about company and crew.
- Prescreens and select candidates through video interviews by utilizing behavioral interview techniques to determine technical proficiency and organizational fit.
- Communicates with Hiring Partners regarding staffing needs; sends staffing requisitions as required.
- Sets up interview schedules for in person interviews. Communicates interview and travel dates, as well as hotel and interview venues.
- Conducts in person interviews if local talent can be met in person.
- Obtains references from previous employers and/or from manning agencies through which the candidate might have been placed in the past.
- Provides prompt interview feedback to the operations team in order to facilitate a prompt decision making process.
- Approves candidates or passes them on to hiring manager for additional screening, specifically candidates for positions that require complex technical competencies, e.g., culinary.
- Extends verbal and written offer to candidates to approved candidates in a timely manner (within 48 hours of hiring approval).
- Ensures reference checks and background checks are carried out in a timely manner.
- Sets up approved candidates in human resources management system. Ensure that bio data is entered completely and accurately.
- Uploads all provided certificates and documents to crew profile as required.
- Follows up with approved candidates if any information and/or documentation is missing.
- Assists and guides approved candidates through the entire onboarding journey, including the processing and/or obtaining of all required documentation, such as passports, seaman's book, visas, STCW training certificates, pre-employment medical examination (PEME), and vaccinations.
- Acts as a liaison to hired crew in case of question or concerns connected with shipboard employment, including travel, expenses, living conditions on board, benefits, privileges, medical coverage, and the likes.
- Reviews and manages all company employee referrals; ensure that no favoritism is applied in the selection of company employee referred candidates.
- Attends and actively participates in departmental meetings.
- Monitors all social media feeds to identify qualified candidates.
- Checks career portal and contact qualified candidates.
- Checks references as needed.
- Communicates with applicants and candidates - apply the personal touch.
- Assists approved candidates with documentation requirements.
- Uploads scans/images of documents/certificates to the respective crew profile in the HR management application.
- Sends out any pre-employment forms/policies that approved candidates have to review and execute.
- Liaises with rotation specialists to review and discuss vessel needs and projected rotations.
- Ensures that travel ready candidates have an assignment and are fully confirmed in the HR management application.
- Ensures that files of new employees are complete and up to date for returning crew.
Financial Responsibilities
- Monitors all expenses incurred by crew to ensure no unapproved expenses are submitted for reimbursement.
- Ensures the greatest number of direct hires to save on manning agency fees.

Work Environment
Works in a typical office environment with quiet-to-moderate noise generated by computer printer, fax machine and light traffic. The position requires you to travel extensively; up to 60 days per calendar year.
Physical Demands
Requires sitting, standing, walking, bending, and reaching. May require lifting or pushing up to 25 pounds. Requires manual dexterity sufficient to operate standard office machines such as computers, fax machines, calculators, the telephone, and other office equipment.
Expected Hours of Work
The position is full-time and frequently requires working additional time outside of normal business hours.
Requirements
Education: Bachelor's degree in relevant field preferred.
Experience:
- Strong background in shipboard talent acquisition, specifically for hospitality crew, including but not limited to service, culinary, bar and housekeeping positions.
- Experience as recruiter in the cruise industry for a minimum of 2 years and preferably in the hospitality industry.
Skills/Qualifications:
- Discerning judgment, strong analytical skills, a savvy business sense, and ability to quickly learn new industries and information.
- Ability to manage and prioritize tasks in a dynamic, fast-paced, and complex environment.
- Excellent written and oral English communication skills with the ability to communicate effectively at all levels of the organization, strong client and candidate management skills.
- Ability and willingness to communicate effectively with people working in different time zones.
- Good knowledge of international geography as well as the willingness to work with people of different nationalities, cultures, and religions.
- Knowledge of general office practices, procedures, and equipment; ability to prioritize tasks and work independently; strong organizational, interpersonal and communication skills; ability to interact with senior-level management.
- Microsoft Office Suite 365 and higher (Word, Excel, Outlook).
- Good knowledge of Microsoft Excel, including the building of simple formulas, applying filters, sorting, formatting, and writing of simple macros for the purpose of analyzing data.
- Basic Windows 10 and 11 Operating Platform knowledge.
- Possess sufficient computer knowledge to use the company proprietary software suites.
- Understanding of relational database applications.
