The Workplace Manager will be based out of the Chicago office, and is responsible for supporting and managing all facets of Workplace, including facilities, security and workplace experience for Grubhub Headquarters located in Chicago.
The right candidate for this administrative / facilities role has 4-6 years experience, is a self-starter, people leader, reliable, proactive thinker, is organized, has strong communication skills and is a team player. This position reports to the National Director of Workplace.

The Impact You Will Make
- Plays a strategic advisory role to Workplace Senior Leadership
- Demonstrates effective written and verbal communication skills and realizes impactful results with vendors and stakeholders
- Proactively provides researched & benchmarked ideas on how to continuously improve the GH Workplace function based on internal GH knowledge and outside Workplace trends
- Identifies and executes on strategic projects for Grubhub
- Develops / improves tools, content, policies and processes to further the influence of GH Workplace
- Provides leadership, coaching and development to direct reports while simultaneously building upon own leadership and people management skills
- Demonstrates holistic thinking for GH Workplace, it's stakeholders, and Grubhub at large
- Ensures Workplace experience is consistent with Grubhub culture
Additional Responsibilities:
- Responsible for managing Chicago based Workplace support staff (receptionist, security and facility coordinators) by establishing and maintaining policy and procedure for the team members
- Oversee security team to help drive strategy and enforce company policies
- Play an integral role in GH's future of work programming strategy
- Lead project management for facilities projects and interact with general contractors to ensure jobs are completed on time and within budget.
- Manage preventative maintenance agreements and address issues timely
- Act as primary liaison with building management and hold accountable for maintenance needs
- Inspect tenant and building space/structures to determine the need for repairs or renovations
- Allocate office space according to business needs, manage all internal office desk and furniture moves; maintain space plans
- Manage the upkeep of equipment and supplies to meet health and safety standards
- Review utility consumption and strive to minimize waste
- Supervise facilities vendors (day porters, maintenance, technicians, general contractors, etc)
- Oversight of facility vendors on site to follow building protocols (parking, freight elevators, COI submittal, etc.)
- Closely partner with the People team on human resource issues
- Oversee pantry needs and work directly with pantry vendors to ensure budget tracking, inventory levels and employee experience is on track
- Identify and drive solutions to resolve facility maintenance issues (HVAC, plumbing, pest control, etc.)
- Maintain strong communication with the Workplace Director, Stakeholders, peers, team members and cross functional teams.
- Partner with internal teams to ensure company standards are maintained (i.e. manage IDF room cleanliness, HR, other projects)
- Provide top customer service for our employees
- Keep office organized, clutter free, and manage/create cleaning schedule
What You Bring to the Table
- 5+ years of workplace operations and facilities management with a medium-large sized organization
- 2-3 years of construction management as a project manager, program administrator or similar role.
- 1-2 years of corporate security management
- Ability to work independently with strong sense of ownership and accountability
- Excellent initiative, sense of urgency and follow through
- Very organized and detailed oriented
- Strong verbal and written communication skills
- Collaborative personality and works hands on with ease
- Ability to manage budget/spend
- Strategic Direction
- Negotiation Skills
- Self Awareness
- Skills in Google suite: GMail, GCal, GDocs and MS Office
- College Degree Preferred
- OSHA certification is a plus
- IFMA organization familiarity and involvement
