Introduction:

Toshiba Global Commerce Solutions (TGCS) is seeking a Briefing Specialist to join our Marketing organization as part of our Customer Experiences team providing direct support to our briefings program. This role will support diverse aspects of the briefing program, both from the hospitality side, as well as from the technical production side.

The Briefing Specialist will support day-to-day front of house operations for most customer and partner engagements and internal TGCS events. They'll oversee directing visitors, food and beverage services, and preparing rooms and A/V resources to support daily operations, ensuring a consistent level of support and hospitality throughout the events, from arrival and welcome through end of the day.

The Briefing Specialist will also support day-to-day run-of-show technical and digital production, learning to operate the different systems in both the Executive Briefing Center as well as the Commerce Innovation Studio, to support best-in-class virtual briefings and webinars. They will contribute to the production of key events collateral, which may include video, presentations, or other materials as needed.

Additionally, the Briefing Specialist will contribute to the planning and coordination of events, working with staff at all levels of the company, as well as with some external participants as needed.

Responsibilities:

  • Managing the day-of experience for event attendees in our briefing center facilities (EBC/CIS)

    • Providing day-to-day hospitality services to briefing and/or event attendees (catering, local area 'concierge' services, etc.)
    • Preparing rooms, A/V equipment, signage, product demos or any other assets needed to execute the day's events.
    • Identify and quickly resolve problems.
    • Assist in tracking supply inventory for promotional items and office supplies as it relates to daily operations.
  • Collaborate in technical execution of events.

    • Operating A/V equipment, streaming, meetings software to broadcast and capture all needed information.
  • Supporting the event planning process and managing logistics for all events in our briefing center facilities

    • Managing calendar/room/resource scheduling for events including any needed customer or partner registration, communicating with different parties about event needs and plans.
    • Schedule catering and any other external services needed.
    • Participate in event planning meetings to ensure all logistics needs can be met and to plan overall event resources.
  • Supporting post-production activities for events

    • Producing needed collateral from events (videos, presentations, etc.) and distributing those as needed
    • Store recordings, collateral and other important information and ensure it is shared with the correct audiences.
  • Helping drive continuous improvement activities related to the briefing center program.

    • Identifying improvements to Standard Operations Procedures
    • Contributing to the overall Customer Experiences online portal to improve stakeholder interactions with EBC/CIS operations.
  • Perform other related duties as assigned.

Required Qualifications/Skills:

  • 2+ years of experience supporting an Executive Briefing Center, coordinating corporate meetings or events, field marketing, or a relevant field.
  • Excellent communication skills, both written and verbal, fluency in English required.
  • Good project management skills, ability to prioritize activities and work on multiple projects at once, working in a fast-paced, customer-driven environment with a flexible schedule.
  • Ability to adapt quickly to last minute changes, deadlines, and requirements.
  • Comfortable interacting with diverse audiences at different levels, including executive-level management, corporate customers and business partners, and technical professionals from different geographies and backgrounds.
  • Comfortable in front of different audiences, including being on-camera.
  • Service oriented mindset, capable of making every guest feel valued.
  • Willingness to multitask and learn new skills, including handling technical tasks (working with A/V and recording equipment, computers, etc.)
  • Strong attention to detail, with a constant eye towards providing consistent, world-class service and hospitality to diverse audiences.
  • Love for teamwork and commitment to building a world-class, enterprise-class global customer experience.

Preferred Skills:

  • Experience with digital/video production/streaming a strong plus.
  • Experience with the following tools:

    • Microsoft technology - Outlook, SharePoint, One Note, PowerPoint, Excel, Word
    • Meeting coordination tools - Zoom/MS Teams, Teams Live
    • Commercial photo editing software
    • Video Processing software - Handbrake, etc.
    • Digital Production - OBS, Blackmagic, ATEM, Stream Deck
