Job Overview

Key Job Responsibilities

  • As the only project and resourcing manager in the Marketing Communications team, this role has a 360 degree view of the work coming through the team, providing direct, hands-on support to move creative projects along from kick-off to delivery, engaging with all MarComm team members for all steps of the process - strategy, concepting and scheduling, content and creative development, distribution, measurement and optimization.
  • Ensures tasks, deadlines and resources are well documented and understood by all stakeholders, certifies that outsourcing budgets are met, and assists with project traffic management, allocating projects and balancing priorities to take steps toward better capacity utilization and ultimately delivery of quality projects, on time and on budget.
  • Serves as point person for creative tasks, enabling internal team members to rely on this role as a source of information for all creative requirements.
  • Has oversight to the input necessary for writers, graphics designers and media creators to do their jobs, and ensures those requirements are met by the strategic team.
  • Interfaces daily with creative, content and media managers to keep track of creative capacity and assist with allocating resources to projects, and when needed, manage vendor relations for outsourcing work.
  • Is a master on both our creative processes and project management system. Teaches team members, advocate for them and inspire everyone's adoption.
  • Develops reports and keeps dashboards updated for frequent leadership reviews.
  • Responsible for coordinating all developed content legal approvals and translations, prior to publishing.
  • Interfaces with Komatsu OEMs, when needed, to gather official product specs and information for the creative projects.


Qualifications/Requirements

  • Bachelor's degree in business management, marketing, project management or related field, required.
  • Project Management Professional (PMP) certification required, minimum 5 years of experience
  • Must have knowledge of project management processes, systems, workflow and terminology
  • Must have marketing agency project management proven experience, with references available.
  • Strength in Project management systems, SAAS platforms, Asana, Excel, Power BI and Power Point systems preferred.
  • Expert organizational skills and able to juggle multiple daily requests and deadlines
  • Strong ability to multi-task and manage high volume of work and projects
  • Outstanding communication skills - both verbal and written.
  • Ability to teach and influence others to adopt project management system utilization, and to develop project management skills with non-project managers.
  • Strong analytical skills to generate reports and update dashboards
  • Ability to function well in a fast paced (sometimes chaotic) environment under tight deadlines
  • Energetic and positive attitude, able to drive meetings in a positive way.
  • Comfortable with handling tough conversations around project scope, timelines, budget, etc.
  • Must be comfortable working with global teams (no other languages required, but comfort in working with non-native English speakers is)
  • Overall proactive attitude to improve the function and help the team succeed.


Additional Information

  • Schedules and participates in project kick-off and update meetings, responsible for documenting discussions, decisions, tasks, timelines/scheduling, resources and next steps, assisting project owners to create projects and tasks within the system and tracking development, clearing road-blocks.
  • Monitors, updates, creates input, administrates the MarComm team project management system. Responsible for ensuring the overall MarComm process is properly documented in the system, adjusting and updating as necessary.
  • Oversees the creative workflow on a daily basis, ensuring efficiency and timely execution of work, optimal utilization of the team's capacity, eliminating bottlenecks whenever possible via planning, prioritization and organization.
  • Supports the creative content and media leads to engage external resources, manage external vendor relationships and move initiatives through all phases of execution, while overseeing that the work is on budget, meeting deadlines and ensuring success.
  • Works with the digital, distribution and production teams to ensure final assets/campaign materials are completed and distributed to the correct sources / internal customers, and/or uploaded to the proper systems and channels.
  • Proactively communicates project updates, reminders, deadlines and progress to all involved stakeholders, and answer questions about project status on needed. Streamlines communication between internal members.
  • Liaises with the legal team on behalf of MarComm to secure legal approvals for all content to be published externally, following the process as necessary
  • Coordinates necessary documentation for all external partners, outside vendors, customers, distributors or creative teams for shared content, outsourced creative work, purchased materials and more, managing required NDA, MDA and MSA documentation.
  • Coordinates language translations for all requesters, including those for spec sheets, brochures, informational materials and creative deliverables, interfacing with language experts within our regions to ensure proper proofing and editing. Manages translation budget.
  • Engages with creative designers, media and production team, ensuring they have the input necessary to do their jobs in the system, and supporting and teaching about project hours tracking
  • Communicates with other Komatsu OEMS, when necessary, to obtain all source content and specs needed for the creative team to develop product literature.
  • Teaches, inspires and provides technical and administrative support related to the MarComm project management system.
  • Informs and assists non-project managers to up their skills and ability to manage their projects, i.e. marketing managers, internal comms managers, strategy teams, etc.
  • Creates reports, monitors and updates team's dashboards reporting of strategic operations, hour tracking, creative team capacity, project funnel and pipeline, etc.
  • When needed, engages with broader team members and leadership about creating new processes, suggesting improvements to projects, highlighting red flags, and proposing solutions, etc.
