Job Description

The Marketing and Sales Assistant is responsible for various duties assigned by the Director of Marketing. Primary responsibilities include performing comprehensive administrative support services for the Marketing team.  Graphic design talent, and software knowledge Word, Excel, CRM etc. will be a primary function of this position. Adobe Illustrator experience preferred.

 

Duties:

  • Greet visitors and answer and direct telephone calls in a pleasant and professional manner.
  • Schedule potential resident meetings with Retirement Counselors.
  • Assist in scheduling Selection appointment with appropriate staff and depositors.
  • Type, collate, copy and distribute all correspondence and other materials deemed appropriate.
  • Various administrative duties including preparing and distributing reports and mailings and maintaining files.
  • Assist with the organization of mailings to individuals with CRM in place or various mailing lists.
  • Keep Collateral Materials organized, and brochures prepared.
  • Responsible for managing Marketing Events Calendar. Assist with events (prepare nametags, check in documents, check in and greet guests, input into CRM attendance, and follow up calls to counselors)
  • Track RSVPs for events. Coordinate reminders.
  • Order office supplies and other inventory, including marketing giveaways
  • Backup for Move in Coordinator and be able to prepare New Sales Sheet when reservation is made by new depositor. And prepare closing documents, set closing time for new reservation, set walk thru appointment prior to closing, selection make ready process
  • Weekly prepare New Resident Report, and Census when there is a change
  • Any and all other duties as assigned by Supervisor or other Management personnel that are deemed appropriate.

Skills/Qualifications:

  • Ability to work independently, be self-motivated and demonstrate good judgment.
  • Ability to handle multiple projects simultaneously.
  • Ability to read, write and proof reports, business correspondence, and procedure manuals.
  • Detail oriented and precise. Must also have the ability to effectively present information and respond to questions from managers, clients, residents, and the general public.
  • Must be proficient in software applications including Windows, Excel, Power Point, and able to learn other applications.
  • Adobe Illustrator experience preferred.

Other Skills and Abilities:

  • Must possess compassion, understanding, patience, and tact in dealing with residents, families, and work effectively with staff.
  • Must demonstrate an attitude of service to residents, family members, staff, and people from the community. Must have excellent telephone and customer services skills.
  • Must have ability to protect and maintain confidential business, prospective resident and resident information.
  • Must show track record of excellent organizational and time management skills.

Education and/or Experience:

  • Must have High School Diploma
  • Two to three years’ experience as an administrative assistant involving customer service.
  • Some proficiency in the use of marketing database system preferred.
