TEMPORARY 6 MONTH POSITION
As the Marketing Specialist, Operations, you will coordinate and support the marking team's day-to-day campaign development, vendor management, invoicing, reporting and other relevant operational duties as assigned. This role reports into the VP, Marketing Operations. In this role, you will have the opportunity to collaborate with a diverse set of stakeholders within and outside of the Marketing organization. Within Marketing, you will work daily with Marketing Leaders and Managers. Beyond Marketing, you will collaborate with other Axos teams, including finance, product, MarTech, IT, operations, and procurement teams. An ability to build relationships and collaborate with stakeholders in a matrixed environment is critical to success.
Responsibilities:
- Manage relationships with external vendors to ensure high-quality and timely execution of marketing programs, and to ensure competitiveness
- Manage the creation and data entry of purchase orders and the processing of invoices, maintaining an accurate backing log via the internal Marketing procurement spreadsheet
- Create process documentation for the marketing operations function to ensure understanding across the organization
- Maintain a clean database and ensure full compliance with security and privacy requirements for data and access reviews
- Independently coordinate marketing and corporate events, including overseeing logistics, managing registrations, coordinating with vendors, creating itineraries, and ordering marketing collateral
- Manage promo item ordering and storefront facilitation as well as in-house inventory
- General administrative duties including, but not limited to, assisting with E/SVP requests and expense reports, submitting IT tickets, order and manage office supplies for departmental use, monitoring weekly timesheet dashboard in Workfront and monthly Marketing Promo Sheet
Requirements:
- 2+ years' experience in project management and/or marketing
- Basic knowledge of Microsoft Suite (Excel, Outlook, Teams), Windows/PC
Preferred:
- Bachelor's degree
- Oracle experience
- C-suite executive administrative experience
- Familiarity with Social Media platforms and web-based apps such as Getty images, Adobe suite, Workday and Workfront a plus
- Vendor management experience; managing and facilitating contract reviews and negotiations
- Highly organized, detail oriented, and self-motivated
- Demonstrated ability to prioritize requests and handle multiple tasks simultaneously
- Creative project management experience a plus
