Marketing Team Coordinator
Job Description
The Marketing Team Coordinator is responsible for providing senior leadership with administrative support. This challenging role requires someone who is confident, intellectually curious, and service driven, with exceptional organizational skills, and the poise and professionalism to engage with the Chairman and CEO, Board of Directors, senior staff, and outside clients and suppliers. You will work on a variety of complex and varied duties within the communications and marketing disciplines, analyzing situations, and using your strong initiative to prevent and resolve problems. This role also provides an opportunity for a candidate interested in a career in communications and marketing to grow as a coordinator, leverage strong writing and project management skills.
Reporting to the Chief Communications Officer, this role will be a hybrid workplace model offering the ultimate flexibility to work remotely as well as in newly-renovated global HQ in Midtown!
What You'll Do:
- Provide project management support for events, corporate meetings, specialized projects and announcements to ensure stakeholder accountability and timelines and deliverables are met.
- Maintain and coordinate complex schedules, events, and activities that can change frequently, to ensure the most efficient and effective use of executive's time through project completion.
- Utilize Smartsheet and Workfront to coordinate Communications and Marketing activities across the organization.
- Provide support to executives in community outreach and external relations. Manage the participation and active membership with various external committees and organizations.
- Provide support to executives with external brand or sponsorship partners.
- Build and maintain relationships with external vendors, assist with identifying and onboarding new vendors.
- Serve as host to visitors, serving as the public face of your executive in all instances.
- Inform senior executives of meetings and activities that affect the other, so that all departments work seamlessly together.
- Perform general administrative duties such as coordinating calendars/scheduling meetings; ensure purchase orders and expense reports are processed accurately and in a timely manner; anticipate and obtain information needed in advance of meetings; prepare and distribute materials to meeting participants.
- Maintain Department and Event budget(s) - tracking expenses and plan vs actual expenditures.
- Work with sensitive information with absolute discretion and manage a high volume of details with efficiency and accuracy.
- Coordinate industry event registrations, attendance, and logistics.
- Compose and prepare correspondence, documents, presentation materials, and reports.
What Experience You Need:
- 5+ years of recent experience in executive administrative support of senior leaders at technology, software, and/or new economy companies
- Experience must include at least 1 year of C-Suite level administrative support
- 5+ years of experience with MS Office and/or Google-based applications (Google Suite, Docs, Sheets, Slides, Meet, etc.)
- 5+ years of experience with coordinating complex calendars and the ability to manage competing priorities
- 5+ years of experience planning and arranging meetings, conferences, and large events for clients and staff
- Strong communication & interpersonal skills, including the ability to comfortably communicate with senior leadership and client personnel
- Exceptional organizational skills and impeccable attention to detail
What Could Set You Apart:
- Administrative experience in a fintech and/or data & analytics environment
- Experience using Smartsheet and/or Workfront project management software
- Project Management experience
- Bachelors or advanced degree
- Strong writing skills
